Description:

Overall Summary:
The Scheduler manages and coordinates the scheduling of various job assignments from all IWCO locations. They adjust the schedule each day to accommodate specific clients, site and organizational needs.

Primary Duties/Responsibilities:

  • Manage and coordinate the daily scheduling of the production facility; oversee job assignments and machine line ups and ensure equipment requirements have been identified and reflected in the schedules.
  • Manage all facets of production for all Company departments.
  • Coordinate various job assignments from all IWCO locations; accommodate specific clients, jobs and schedules.
  • Develop thorough understanding of different programs and schedules by locations.
  • Monitor machine equipment usage to assure that performance meets or exceeds client expectations.
  • Partner and key communicator across all departments including Operations, Client Services, Outsourcing, Sales, Prepress, Purchasing, Content Development, and Mail Logistics.
  • Understand potential open capacity and partner with the Scheduling Manager on proactive placement of job assignments.
  • Work with Planning on details for specific job assignments involving paper stock, inks, dies, layout, sort sequence, and types of inserts according to client expectations.
  • Coordinate with Operations Supervisors on temp labor, as needed.
  • Learn and utilize multiple IWCO management systems relating to job information and material updates and cross reference to workshare jobs originating out of PA; this includes Foundation, ERP, Job Management, EFI (Print Flow), and company intranet (iDirect).
  • Serve as back up to the Equipment Scheduler and/or Scheduling Manager for daily equipment scheduling and proposed job assignments.
  • Establish and maintain open, positive and effective communications with Director of Operations and Scheduling Manager; provide feedback on jobs relating to capacity constraints, production efficiency and meeting mail date requirements.
  • Monitor client sign off events to assure material deliverables coincide with production operation requirements.
  • Coordinate and communicate with Shipping Staff and Outsourcers in maintaining up-to-date information on delivery status.
  • Coordinate and communicate with mail department on delays or changes to mailing schedules.
  • Coordinate with Operations Supervisors on preliminary schedule of priorities based on equipment constraints and delivery status.
  • Participate in production meetings as a resource to provide input on scheduling line-ups and priorities
  • Implement a Daily Priority Schedule.
  • Assist in the investigation of all material discrepancies and/or issues, reprint requirements, spoilage, etc. working closely with Production floor, Expediting and Quality.
  • Key communicator any quality concerns to Director of Operations, Scheduling Manager and Quality Manager that may require their interaction and assistance for resolution.
  • Monitor communication flow of incoming materials from MN, Hamburg, or Outsources.
  • Perform other (or other related) duties as applicable or assigned.

Required Skills/Abilities/Competencies:

  • Thorough understanding of the Customer Service Approval Process and how it coincides with the Scheduling process.
  • Thorough equipment knowledge Understand the Print/PrePress approval process.
  • Understand the Workshare process across platforms.
  • Understanding of the Disaster Recovery Process to contribute scheduling resources as needed.
  • Strong analytical skills.
  • Planning capability and strong organization skills.
  • Excellent communicator; able to follow written and verbal assignments.
  • Detail oriented and accurate.
  • Able to work in a fast paced, ever-changing environment.
  • Ability to handle multiple tasks and prioritize assignments.

Education and Experience:

  • Associate’s Degree or equivalent required; production-related direct mail experience preferred.
  • 4 years’ experience in Direct Mail Marketing or two years’ experience with production scheduling or related field.
  • Thorough knowledge of shop floor operations; General knowledge of Mail operations and regulations; project management and materials management.
  • Proficient in Microsoft Office Suite.
  • ERP-Enterprise Resource Planning Systems.
  • EFI - Monarch Systems.

Physical Requirements:

  • Ability to work 8 hours consecutively.
  • Ability to work overtime when needed.
  • Prolonged periods of sitting at a desk and working on a computer.
