Description:

Xenon Building Technology Ltd is a leading electronic life safety and security systems supplier, delivering specialised services to customers across Ireland. We are currently seeking a Scheduler & Service Co-Ordinator to become a valuable member to our Carlow based team.
The Scheduler & Service Co-Ordinator will manage Xenon’s Field Service Job Management System, coordinate engineer workflows, and handle various job documentation. This role includes regular communication with customers, team members and stakeholders to assist with delivery of excellent customer service. It also includes managing the procurement of materials and equipment required to deliver Xenon’s services.
The successful candidate must be detail-oriented, possess strong organisational skills and display a team-oriented attitude. Previous experience in field service scheduling, and knowledge of electronic security, safety, and smart building systems are a plus but not required.

REQUIREMENTS:

  • Previous experience in field service management and electronic security systems is advantageous but not necessary.
  • Strong client focus in delivering and improving services where possible.
  • Ability to take initiative to diagnose and proactively resolve issues as they arise
  • Excellent organisational and time-management skills, with the ability to prioritise and multi task.
  • Polite, effective communication and interpersonal skills.
  • Team-oriented with a positive attitude towards delivering excellent work.
  • Excellent computer and IT skills, including proficiency in Microsoft Word & Excel.
    Job Type: Full-time
    Pay: €26,000.00-€35,000.00 per year

Responsibilities:

  • Administer Xenon’s Field Service Job Management System.
  • Prepare and review various job documentation, including engineer job requests, job reports, and relevant certificates.
  • Assist in the management of the engineer’s day works process, coordinating with engineers and clients to schedule jobs, issue health and safety documentation, track progress, verify completion and prepare job invoices for completed work.
  • Facilitate effective communication between engineers, clients, and other stakeholders.
  • Handle company phone calls, maintaining polite and effective communication with clients.
  • Monitor company email, responding effectively to clients and other stakeholders.
  • Process purchase orders for materials and equipment, verify deliveries, and manage stock.
  • Collaborate with the general manager, sales and projects managers to ensure seamless inter-departmental coordination.
  • Participate in regular meetings, providing progress updates to senior management.
