Responsibilities:

Administrative Support

  • Facilitate the build and maintenance of the emergency staff 6-week schedule templates in the computerized scheduling database.
  • Input scheduling data into computerized scheduling databases.
  • Produce computerized scheduling reports to assist in the management of staff assignments.
  • Monitor trends/patterns and track data related to compliance with scheduling requirements and absenteeism. Provide feedback to management related to these trends/patterns and collaborate in implementing initiatives to address areas for improvement.
  • Act as the primary payroll administrator.
  • Manage and provide support to leadership team and staff related to payroll issues.
  • General administrative duties including calendar management, monitoring multiple inboxes, file, and document management.
  • Management and reconciliation of scheduling and payroll materials for the ED.
  • Maintain reference and scheduling materials/files.
  • Maintain files/list of payroll changes.
  • Assists in scheduling, planning, organizing, and maintaining the ED staff schedule.
  • Chairs and records minutes of Scheduling meetings.
  • Ensure appropriate maintenance of program facilities, including space, equipment, and supplies.

Employee Scheduling

  • Collaborate with ED Manager and Scheduling Working Group to establish staffing models.
  • Regular communication and consultation with leadership team to manage resources in alignment with fiscal accountabilities.
  • Act as the primary point of contact in the management of all schedule related issues.
  • Facilitate stakeholder communication to meet staffing requirements.
  • Identify and communicate employee scheduling/staffing issues to management.
  • Verify employee availability by comparing the already established schedules with any current, approved requests for leaves of absence received by the incumbent
  • Identify the discrepancies between appropriate staff requirements and employee availability.
  • Review and approve or deny staff shift change requests based upon staffing requirements.
  • Communicate with employees in order to meet staff requirements.
  • Consult with manager and CSNs on situations that have budgetary implications such as overtime.

Information Resource Activities

  • Acts as a resource for staff in the utilization of the computerized scheduling systems.
  • Provide an educational support to orient staff to the computerized scheduling and payroll systems.
  • Collaborate with Scheduling Facilitators to monitor sign up and propose adjustments in area guidelines.
  • Identify and communicate employee scheduling/staffing issues to management and other selected members of the health care team.
  • Participate in the design, development, and implementation of computerized employee scheduling tools.

Organizational Responsibilities

  • Accountable to align activities and performance with strategic goals and objectives of the Hospital for Sick Children
