ABOUT US
The mission of the School of Graduate and Postdoctoral Studies (SGPS) is to support Faculties and programs in providing high quality, innovative graduate programs, attracting high quality graduate students and postdoctoral trainees, and expanding graduate education and graduate professional development at Western.
The professional staff serve as a comprehensive resource on graduate matters, accountable to all graduate programs and students.
QUALIFICATIONS
Education:
- Undergraduate Degree in a relevant discipline
- Master’s Degree in a relevant discipline is preferred
Experience:
- 3 years of experience managing graduate external scholarship competitions in a University environment
- Experience with policy analysis, review and/or development
Knowledge, Skills & Abilities:
- Familiarity with academic policies and procedures at the graduate level
- Exceptional organizational skills, including managing multiple competing priorities and an ability to adapt quickly to emerging priorities
- Project management skills to manage a project from conception to completion within tightly prescribed timelines
- Judgment, analytical and problem-solving skills with a consultative and collaborative approach to addressing issues and opportunities
- Creative problem-solving skills, sound professional judgment, discretion, tact and maturity
- Strong communication skills with a demonstrated ability to complete detailed analytics and reports and clear, concise procedural documentation, with the ability to process information with high levels of accuracy
- Attention to detail with an ability to retrieve, analyze and synthesize sizable amounts of data, while ensuring that information is accurate and comprehensive
- Verbal communication skills to clearly express ideas in an objective manner, and adapt communication style to suit the situation and audience
- Strong customer service skills to handle enquiries and resolve issues in a professional and timely manner

- Ability to listen, inform, explain, and advise students on scholarship processes and regulations
- Ability to plan and manage events of various sizes; familiarity with large scale events an asset
- Intermediate computer skills in Microsoft Office Suite and with database applications (such as PeopleSoft), and with content management systems (such as Cascade)
- Demonstrated ability to build strong, collegial relationships with students, faculty, the public and colleagues across the University
- Ability to be adaptable, flexible and resourceful with a strong attention to detail
Responsibilities:
The Scholarship Coordinator manages all aspects of the Ontario Graduate Scholarship (OGS)/Queen Elizabeth II Graduate Scholarship (QEII) competitions at Western, from the annual launch and promotion to the notification of results. The role will be a point of contact for all internal and external inquiries regarding scholarships and other related policies and procedures and will ensure that all stakeholders have the necessary support, information, documentation and resources related to scholarships. The role ensures the accurate release of results of annual federal and provincial scholarship competitions, the timely payment of all graduate scholarships, and the successful event management for annual functions that support student scholarship achievement. The role is responsible for donor award management, administering graduate scholarship payment processes, and preparing required reporting, analysis and reconciliation.
