Description:

You will provide a comprehensive range of administrative and support services to assist the Society Secretary and Deputy Secretary in delivering a professional company secretarial service and “best in class” board support function for the Board, Board Committees, Executive & Non Executive Directors of Nationwide Building Society and its subsidiaries.
This role is within the Legal and Secretariat Function which provides expect advice and guidance on legal and regulatory issues and a comprehensive secretariat service.
This role is a 12 months secondment, providing cover for a member of the team on parental leave.
We’d prefer the applicants to be able to work 5 days per week, at least four hours per day 28 hours per week) The salary will be pro rata.

ABOUT YOU

You will have:

  • Strong organisational and planning skills; able to prioritise effectively
  • Helpful and personable manner with experience of dealing with directors and senior executives
  • Able to work to tight deadlines and to work flexibly to support the requirements of the Board. Due to the population served, out of hours support will occasionally be required.
  • Adaptable and willing to take on new tasks as required by business needs
  • An experienced and accurate administrator with strong attention to detail
  • Understanding of the role and responsibilities of the Secretariat in supporting the Board and Executive and the importance of sound administrative support
  • Knowledgeable on standard software packages (eg. Outlook, Word, PowerPoint, Excel).

Responsibilities:

You will be supporting members of the Secretariat team in ensuring the smooth running of Board / Committee / Management and Subsidiary meetings and identifying opportunities for improvements eg: checking availability of attendees; producing and maintaining attendance records; all meeting arrangements including booking of rooms, and video conferencing facilities, ensuring that arrangements are suitable for the nature and duration of the meeting; assisting with preparation and distribution of meeting packs including uploading to Board Intelligence; arranging signature of minutes and maintenance of the minute log.
You will be preparing and filing documents to assist the Society and its subsidiary undertakings in complying with their respective legal and regulatory obligations eg supporting members of the Secretariat team in the maintenance of company records (including for subsidiary companies); producing extracts and certified copies of minutes or documents as required.
You will be supporting the relevant Board or Committee Secretary with any other administrative activities as specified in the agreed service standards for the relevant Board or Committee and ensuring that tasks are documented and updated as appropriate.
