Job Description
- Maintain calendar for head of departments by planning and scheduling meetings, conferences and teleconferences.
- Timely preparation and ensure compliance of expense reports for head of departments.
- Arrangement of flights and hotel bookings for head of departments. This includes the application and renewal of travel visa, as required.
- Arrange and coordinate any department’s meetings (internal and external), conferences and events (including offsite meetings) as required.
- Coordinate and management of departments’ events calendar (e.g. monthly LT meetings, business reviews, etc.)
- Responsible for reservation of conference/meeting rooms, arrange teleconferencing and management of all audio and video requirements for head of departments’ meetings.
- Taking minutes/records of meetings for supporting departments, when required.
- Draft and prepare letters, memos and other correspondence requiring judgement and discretion; write, edit and manage internal and external communications.
- Support leaders’ presentations as required.
- Ensure distribution list of departments are up to date.
- Supporting departments’ requests from Buysmart, DocuSign, etc.
- Collect and distribute all incoming and outgoing mail, correspondence and documents.
- Conduct projects, assignments and perform any other tasks as directed and assigned.
- Demonstrate continuous effort to improve operations, streamline work processes, analyze records, systems and suggest ways for improvement.
Job Requirements
- Diploma / Degree in Business Administration or equivalent
- Minimum 5 years working experience in an MNC environment with preferably office administration and events planning background
- Proficient in MS Office software (Outlook, Word, Excel, PowerPoint) and PDF.
- Familiar with use of various teleconferencing tools e.g. Microsoft Teams, Skype, WebEx, Zoom, etc.

- Ability to handle sensitive information with a high degree of discretion and ambiguity
- Ability to communicate effectively, verbally and in writing, with all levels of the company.
- Strong attention to detail, controls, policy compliance and process efficiency
- Excellent follow up skills and meet all datelines
- Ability to work under pressure and thrive in a fast-paced environment.
