Description:
We are seeking a highly organized and proactive Secretary/Assistant to support the smooth operation of our electromechanical and MEP services company, which serves high-profile clients in the UAE. The ideal candidate will provide administrative and clerical support to senior management, ensuring efficient office operations and exceptional service delivery.
Key Responsibilities:
Administrative Support: Provide comprehensive administrative assistance to the management team, including scheduling appointments, managing calendars, and coordinating meetings.
Document Management: Prepare, organize, and maintain important company documents, contracts, and reports. Ensure that all documents are easily accessible and properly archived.
Client Liaison: Serve as the first point of contact for clients, ensuring professional communication and prompt follow-up. Assist in managing client relationships and addressing queries.
Communication: Handle internal and external correspondence, including emails, phone calls, and mail. Ensure that messages are relayed promptly and accurately.
Office Management: Oversee daily office operations, including inventory management, office supplies, and ensuring a clean, organized workspace.
Event Coordination: Assist in organizing and coordinating company events, meetings, site visits, and client presentations.
Reporting & Documentation: Assist in preparing reports, presentations, and other documentation for high-profile meetings and client presentations.
Project Support: Provide administrative support to project managers and teams, including organizing project files, tracking project timelines, and ensuring the smooth flow of project-related information.
Confidentiality: Handle sensitive company and client information with utmost confidentiality and discretion.
Qualifications:
Proven experience in an administrative or secretarial role, preferably in an electromechanical, MEP, or construction-related industry.
Proficient in office software (Microsoft Office Suite, including Excel, Word, and PowerPoint).
Strong organizational, time-management, and multitasking skills.
Excellent written and verbal communication skills in English. Knowledge of Arabic is a plus.
Ability to work independently and as part of a team, with a professional demeanor.
Familiarity with high-profile client interactions and handling sensitive information.
Attention to detail and the ability to work under pressure.
Preferred Qualifications:
A degree or diploma in Business Administration or a related field.
Experience working in a fast-paced, high-pressure environment.
Knowledge of the electromechanical, MEP, or construction industry is an advantage.
