DESCRIPTION SUMMARY
Iowa Central Community College is looking for a Secretary for the front desk of the Greehey building. The Secretary will serve as main switchboard operator, answering phone in a friendly and efficient manner; assist incoming students and visitors. Duties also include perform routine clerical functions such as drafting correspondence, scheduling appointments, organizing and maintaining paper and electronic files, and providing information when requested.
QUALIFICATIONS
High School Diploma or equivalent, working knowledge of Microsoft Office Programs and the ability to key 50 words per minute accurately required.
Must be extremely organized, have very good communication skills, and enjoy working with the public in a professional office environment.

Responsibilities:
Constant (67-100%)
- Maintain effective and efficient flow of communication and information through a variety of formats.
- Prepare letters, minutes, requisitions, student information, and required reports.
- Pick up and deliver mail twice a day for assigned buildings.
- Review, revise, and edit content for consistency across platforms and publications.
Frequent (34-66%)
- Provide information in response to direct inquiries regarding assigned courses and programs.
- Build, edit, review, and maintain course information in College database(s) in cooperation with dean, associate dean, faculty, and staff in the assigned department(s).
- Update promotional displays weekly in assigned buildings.
- Copy and/or scan requisitions for equipment and supplies for the faculty, staff, and programs to keep local archive.
- Deliver printing requests to Copy Center and retrieve completed ones.
- Enter and update course section schedules into the College database(s) and system(s).
- Prepare reports/forms/pay orders for Division Dean or Associate Dean(s).
- Prepare adjunct faculty folders and related documentation for Division Dean and Associate Dean(s).
- Prepare required items for division and department events and activities.
- Prepare and confirm electronic signatures on letters of understanding to adjunct faculty.
Occasional (10-33%)
- Order and maintain stock of office supplies.
- Participate in training opportunities.
- Assist Division Dean and staff in preparing for meetings.
- Assist staff with copier, printer, and Scantron machine.
- May be asked to independently prepare correspondence for staff signature.
- Call for repairs, change toner, and order copier and printer supplies.
- Maintain required information on staff and students in database.
- Maintain current information on bulletin boards in assigned buildings.
- Assist work-study students in completing assigned task(s) if applicable.
- Prepare minutes of meetings for advisory committees, division, and departmental meetings.
- Maintain an accurate list of addresses for current staff members.
- Support Division activities with documents, assistance, and communication.
