The Crop Assurance Programming Section deals with a wide range of diverse and rapidly evolving issues, projects, and programs that directly impact Alberta’s agriculture and food sectors.

Your planning and organizational skills will enable you to complete monthly budget forecasts, coordinate meetings, prepare agendas and minutes, liaise with partner organizations and follow up on resulting action items.
If this sounds like you, then the Section Admin position supporting Primary Agriculture’s Crop Assurance Programming (CAP) Section with the Ministry of AGI may be the perfect opportunity!
Reporting to the Director of CAP, the Section Admin position assists in the budgeting and forecasting for the section to ensure the budget is accurate and on target with monthly forecasts. The Section Admin will work closely with the Branch Admin to complete branch budget/forecasts. This position ensures the effective and efficient administration of the Directors office, including management of day-to-day activities, establishment of administrative priorities and coordination of resources. This position works with a fair degree of independence after receiving general direction/clarification. The incumbent must be able to work in a team environment as well as independently with a minimum of supervision and be willing to assist others, including partner organizations, with projects and duties outside those outlined in the position description.
RESPONSIBILITIES:
- Review, edit and proofread correspondence. Identify and bring urgent and important concerns and issues to the attention of the Director. Identify administrative issues with potential to affect the section/branch to the Director, recommend solutions and courses of action to deal with issues. Must be able to navigate GMS, 1GX and ARTs and action processes as required. Prepares forms and approval packages for Director/section including HR, Travel, expenses etc.
- Overseeing approval process for ARs, travel/hosting approval, contracts/grants and expense claims for further processing. Ensure approval packages (expenses, 1GX, GMS, ARTs are complete and accurate and ready for signature.
- Prepare section budget and forecast material for Director’s review. Assist, and at times lead, the forecast rollup for branch. Set up and manage a system to track section expenditures (contracts, invoices and materials and supplies orders, etc.) and provide information as needed in appropriate format.
- Develop and maintain effective communication and working relationships with other Branch Administrators to ensure effective communication flow and timely responses to inquiries and requests.
- Provide administrative support to the Agricultural Service Board Unit. As required support meeting minutes, document renewal, website maintenance, liaison work with ASB partners, administrative processes such as 1GX, ARTs, GMS etc. and prepare budget/forecast material for Unit Manager’s review.
