JOB DESCRIPTION

ECU Division of University Advancement is currently seeking an Office Assistant to perform the duties that are listed below.

Responsibilities include:

  • Serving as an administrator: complete all necessary paperwork, forms, create and update reports, support the operations team in scheduling and creating solicitation materials, and ability to maintain logs and tasks as required.
  • Providing customer service: acknowledging and greeting students, staff, faculty and university guests, know campus resources and departmental functions to work with faculty, staff, students and guest of the University to connect each to resources as appropriate and assisting with navigating through campus and keep supervisor informed, help create a welcoming environment.
  • Providing clerical aid: to be able to file records, maintain records and logs, answer telephone calls and relay messages to the appropriate contact, be able to operate common office equipment such as computers, copiers, scanners, calculators, fax, etc.
  • Maintaining a positive attitude and a genuine interest in helping individuals from across the university who may visit the office.
  • Providing quality customer service by using active listening, critical thinking and problem solving skills
  • Speaking clearly and effectively both on the phone and in person
  • Utilizing a multi-line phone and voice mail system to receive/transfer calls and check/respond to messages
  • Maintaining composure and self-confidence during peak business hours
  • Following detailed policies/procedures consistently
  • Upholding confidentiality standards by not disclosing information about donors to others
  • Being a dependable member of the team by arriving on-time for scheduled work hours and thoroughly and accurately meeting responsibilities
  • Managing multiple tasks at once
  • Maintaining a neat and organized work space and appearance (business casual dress is required)
  • Receiving feedback/constructive criticism from supervisor(s) and using this towards continued individual growth

PREFERRED (MAJORS, EXPERIENCE, GPA, ETC.)

Candidate must be a student currently enrolled at ECU, possess and maintain a minimum of 2.25 GPA, and be in good disciplinary and academic standing with ECU.
Candidate must be able to work a flexible schedule up to 15-20 hours per week from 8 am-5 pm. Desired candidate will have administrative/clerical experience with emphasis on phone answering, mail merging, and office organization. Desired candidate will have a strong work ethic. Candidate should be proficient in Outlook, Word, Excel, PowerPoint and Adobe Pro.
