For over 90 years, Catholic Charities Community Services of Arizona has provided life-changing services that protect and nurture children, help strengthen families and assist individuals in crisis. We continue our early work today by delivering services in foster care, adoption and pregnancy counseling. We serve youth and families through early education and youth leadership programs. In response to growing needs in the community, we now serve veterans and their families, sex-trafficked survivors, victims of domestic abuse, refugees and immigrants, and those experiencing homelessness. Working with our affiliate, Housing for Hope, we provide affordable housing, as well as the resources and services individuals and families need to stay housed and feel safe and welcome.
JOB SUMMARY: Provide supervision and hands-on support to Payroll, General ledger, Accounts Payable, Cash, and financial reporting functions. Assist and serve as backup to the Controller. Perform detailed analysis and monitor internal controls.

JOB REQUIREMENTS:

  • Education /Background: Minimum of a Bachelor’s Degree in accounting or finance related with at least five (5) years of Payroll processing, payroll and DOL laws, benefits administration and supervisory experience in monthly closing processes, financial statement and Not-For-Profit applicable tax forms preparation, financial analytics, cash management, accounts payable, procurement, accounts receivable, lease accounting, and internal controls. Experience with Great Plains accounting software and fund accounting strongly preferred. Experience using and administering ADP Workforce Now preferred.
  • Skills: Must have strong time management, organizational, interpersonal, and verbal and written communication skills. Must have thorough understanding of Generally Accepted Accounting Principles. Must have strong problem-solving skills be able to maintain absolute confidentiality. Must be respectful of and sensitive to cultural differences in the Agency, the Agency’s clients, and the community. Must be fluent in Microsoft 365 applications including Excel, Teams, Outlook, PowerPoint, and Word.
  • Working Conditions/Physical Demands: Must be able to work in a fast-paced environment with moderate interruptions. Must be able to stoop, bend, squat, sit on floor and ambulate over uneven floor surfaces including stairs and steps. Must be able to visually and auditory assess and interact with staff and vendors. May be required to lift up to 25 pounds. Extensive keyboard and data entry may be required. Driving required.

  • Valid AZ driver’s license, reliable transportation and ability to show proof of registration/insurance.
  • Level One Fingerprint clearance or ability to obtain fingerprint clearance; must maintain clearance.

Responsibilities:

ESSENTIAL DUTIES:

  • Ensure compliance with accounting principles and organizations policies, procedures, and contracts.
  • Oversee accounting functions, such as payroll, accounts payable, and cash.
  • Ensure that employees are paid correctly and on time.
  • Maintain compliance with agency and government regulations and ensure the payroll procedures are up to date.
  • Keep accurate records of payroll transactions and documentation.
  • Identify and resolve payroll errors and respond to employee inquiries.
  • Assist with setting the organization’s financial policy and direction while also being an active participant in, and driver of the organization’s overall strategy.
  • Maintain and proactively monitor calendar of accounting department activities to ensure completion of daily, weekly, monthly, quarterly, annual, and other tasks. Ensure completion of all activities related to assigned transaction cycles.
  • Prepare or assist in the preparation of financial statements, tax forms (e.g. Forms 990 and 1099), financial analyses, cashflow reports, and assigned account reconciliations. Ensure maintenance and organization of all necessary documentation for assigned accounts and transaction cycles.
  • Prepare monthly expense variance analyses with detailed variance explanations for assigned transaction cycles.
  • Proactively address Agency employee concerns as it relates to assigned transactions cycles.
  • Provide financial information, analysis, and evaluation of financial data as needed.
  • Manages the effective and accountable use of financial resources to support the Association’s services and programs.
  • Prepare trend analysis including but not limited to revenue projections, membership financial data, demographics, and cash flow, as requested.
  • Assist Controller with external (3rd party) and internal (Agency) financial statement, tax, program, and other audits and reviews. Prepare, review, organize and approve (if prepared by others) supporting work papers.
  • Design, document, test and monitor internal controls, as assigned.
  • Provide a broad range of administrative, clerical (data entry) and supervisory functions including finance and budgetary responsibilities, information systems integration, grievance/complaint resolution.
  • Supervise and manage assigned staff in accordance with agency personnel practices including recruitment, training, performance evaluation, guidance, etc. Participate in the process of ongoing personal and professional development.
  • Maintain comprehensive communication among all contacts (internal and external).
  • Provide oversight and guidance for volunteers assigned to program.
  • Model professional standards and ethics in accordance with agency philosophy.
  • Participate in and support PQI initiatives to include attending appropriate program leadership meetings and attending all relevant PQI meetings to ensure organization-wide involvement in PQI and the development of program performance measurements. Supervisors must also develop and provide appropriate staff training and support the recognition of accomplishments relative to PQI.
  • Promote ongoing commitment to excellence and continual quality improvement to ensure the highest quality of services to our staff and clients.
  • Performs other duties as assigned.
