We have an exciting opportunity for an experienced Senior Administrative Assistant to join our friendly HR Team to cover a maternity leave. This position fulfills a combined role providing direct support for the EMEA Head of HR including diary management, travel and expenses along with oversight for the HR Administrative Assistant offering support, guidance and monitoring their workload where needed. The position will also engage with ad hoc project support for the wider HR team.
Project work includes but is not limited to creating presentations, event planning and coordination, reporting, data collection, as well as supporting the team through strategic planning processes and creating and maintaining procedures. Successful execution of this position contributes to the overall effectiveness of the Human Resources team.
The successful candidate is expected to develop and maintain a broad knowledge and understanding of the organisation and the activities associated with the HR function. They will have a “can do” attitude, will have excellent communication skills and the ability to converse at all levels and have strong attention to detail. They will be able to work flexibly in a team and individually in a quick changing environment.
A high level of discretion, tact and sensitivity is required, due to confidential nature of information the Senior Administrative Assistant may have access to.
Principal Responsibilities
PERSONAL ATTRIBUTES / SKILLS / QUALIFICATIONS
Required:
- Ability to be discrete and understand the importance of complete confidentiality
- Executive or senior level administrative support experience
- Advanced Microsoft Outlook, Word, Excel, and PowerPoint skills are essential
- Advanced knowledge and working experience of technical applications (e.g., Microsoft Office) and familiarity with HR software / system (e.g. Workday)
- Strong communication skills including verbal, listening, and written. Strong editing and proofreading skills with attention to detail
- Strong typing and organisation skills and the ability to produce high-end quality work often under pressure with minimal notification and quick turnaround timeframes essential
- Ability to work effectively and communicate with a global/virtual team
- Self-directed and able to perform assignments independently; an initiator who is detail-oriented; proactive in approach versus reactively responding to instructions; able to identify issues / opportunities for improvement and act on them or consult for other options
- Excellent project management skills; proactive in taking on assignments and responsibilities with a willingness to learn to contribute to the success of the team
- Ability to multi-task and prioritise; flexibility to adjust workload to meet deadlines, juggle multiple assignments, and work in a dynamic environment, able to professionally handle numerous tasks simultaneously with interruptions and constantly changing priorities
Preferred:
- Educated to A level or degree standard
- Experience of working within HR and interest in this area
- Extensive experience in a fast-paced office environment.
