Description:
Volley Automation seeks a highly organized and proactive Senior Administrative Assistant who will report to our Head of Finance and provide comprehensive support to four senior leaders and executives.
The Senior Administrative Assistant will manage and balance schedules against demands immediately and proactively.
The Senior Administrative Assistant will manage travel arrangements, schedule and confirm in-person and remote meetings, plan communications, and perform other administrative functions.
This role will interact with all business functions and members and contribute to the business operations team.
QUALIFICATIONS
- Bachelor’s Degree or equivalent experience
- 2 + years of experience in an administrative role or similar position
- Advanced proficiency in Google Suite (drive, docs, slides, etc.), Microsoft Office Suite (Word, Excel, PowerPoint, Outlook), and other relevant software.
- Strong organizational skills with the ability to manage multiple tasks simultaneously.
- Excellent communication skills, both verbal and written.
- Ability to work independently and collaboratively with a team.
- Strong attention to detail and commitment to accuracy.
- Must possess self-directed initiative
- Ability to handle high-pressure situations with a calm demeanor and practical problem-solving skills.
- Technical skills around video conferencing and IT/AV setup and execution
Responsibilities:
- Provide high-level administrative support to the CEO and other executives, including managing calendars, scheduling meetings, and coordinating travel arrangements.
- Provide operational support for external and internal meetings.
- Handle incoming and outgoing communications on behalf of the executive team, including emails, phone calls, and correspondence.
- Manage facilities needs, including visitor access, meeting lunches, shipping swag, and conference room bookings.
- Bring order to the chaos, managing data precisely to support critical decisions and actions.
- Handle sensitive information with discretion and maintain confidentiality at all times.
