    You will work with the Corporate Services Manager to deliver corporate administration, governance, entity maintenance and company secretariat to the Middle East clients.

Responsibilities:

YOUR NEW ROLE

This list of duties is not exhaustive and may change from time to time according to business needs:

  • Liaise and act as main point of contact with clients, prospects and intermediaries in order to obtain all relevant documentation to facilitate a seamless client service.
  • Liaise with local authorities with regards to company formation, statutory changes, or any other client related matters
  • Liaise effectively with colleagues and across departments to build internal relationships and to ensure work is completed in a collaborative, timely and accurate manner
  • Have a good understanding of entity formation and maintenance requirements with the local authorities mainly Department of Economy and Tourism, DIFC Authority, ADGM Authority, DMCC, DAFZA, JAFZA and other free zones
  • Have a good understanding of MOHRE (Ministry of Human Resources & Emiratisation), ICPA (Identity, Citizenship, Customs & Port Security), SPC (Sharjah Publishing City Free Zone), KHDA (Knowledge and Human Development Authority), ADEK (Abu Dhabi Department of Education and Knowledge), DHA (Dubai Health Authority), Municipality, Civil Defence, FTA (Federal Tax Authority), and other applicable authorities
  • Assist in reviewing and Amending Statutory or transactional documents when required
  • Knowledge and prior experience working with the public notaries in UAE
  • Taking and leading on client meetings, addressing client queries and resolving issues and requests efficiently and effectively(escalating where applicable)
  • Maintain repository of client documents, records and filing
  • Compliance with internal policies and procedures as well as Equiom compliance requirements for CSP and AML/CFT
  • Work closely with In-House PROs to obtain clear and accurate information from all relevant government departments.
  • Arrange translation and attestation of documents
  • Provide CSP Services to all Freezone & Offshore clients
  • Assist with Corporate Bank Account Openings
  • Maintain Client Data Base
  • Produce accurate reports, including worksheets and trackers, on time and to a professional standard commensurate with the level of skill expected in this role.
  • Deliver client related work and internal work to a standard expected of an experienced Senior Associate
  • Escalate requests where needed and/or appropriate or where risks are not BAU
  • Undertake research, filing, administration of internal files, and deliver timeous compliances (internal/licensing/regulatory/legislative)
  • Keeping up to date with relevant developments relevant to the service lines, regulations, rules, legislation without limitation to include the following sectors: company law, nominee, foreign investment, company formation, corporate service provision, licensing and license maintenance, governance, annual compliance, financial and economic free zone licensing and maintenance, annual filings for businesses and company secretariat
  • Provide administrative support and assistance to Company Secretary and provide Company Secretarial Services to the Equiom Middle East businesses as an when required
  • Managing client relationship and ensuring time spent is recorded accurately and client is billed for all services in accordance with the terms of the mandate.
  • Responsible for conducting research and writing updates proactively and in support of service lines and in terms of industry updates
  • Maintaining company registers, memoranda, articles, key incorporation documents, share certificates, minute books, ledgers and important date calendars for external clients and support the Company Secretary for Equiom entities
  • Maintaining a database of up-to-date precedent documents
  • Ensure compliance with company standards, policies and procedures.
