Reporting to the Benefits & Wellness manager you will work within a team surrounded by various HR support teams located in the Calgary SE office.
This role is embedded into the operations of the business and is not only integral to the operation of our group benefit and retirement savings plans and wellness programs but is a key forward-facing support we provide our employees, leadership and the business. As a matrixed organization you will interact with fellow HR professionals, external vendors, office leadership and department management, employees and other stakeholders including corporate benefits on a daily basis.
This role will have growth potential over time. The position may function as a team leader for discipline specific initiatives.

Key Responsibilities:

  • Interface with providers, consultants and third-party administrators to review and maintain benefit plans and contracts
  • Analyze and make independent recommendations regarding solutions to problems with varying complexity
  • Audit and reconcile between internal systems and external providers to ensure consistency and accuracy, include reviewing weekly benefit adjustment reports, system error reports and reconciliations for all RRSP’s and disability premium collections
  • Prepare analytics and metrics on benefit claims, premiums, and trends for management
  • Become an ongoing support and technical/subject matter expert for Canada
  • Answer client and employee benefit inquires, including investigating the source, explaining the solution, and following up on any related tasks that may be impacted
  • Evaluate priorities and execute multiple tasks accordingly in a changing environment while escalating concerns as necessary
  • Monitor Canadian legislation and potential impact on current programs
  • Ensure compliance with all applicable policies, procedures and global standards
  • Manage, present and/or coordinate presentations, training sessions and initiatives
  • Conduct research and cost assessments of new benefit and wellness programs

You will be responsible for Canadian plans as outlined below:

Extended Health & Dental:

  • Annual flexible enrollment
  • Working alongside Fluor’s external benefit consultant to review market trends, make recommendations to the business on new or amended benefit offerings
  • With the group benefits provider you will facilitate the annual implementation, education and close out duties
  • Providing in depth understanding and conveyance of the various health & wellness plans and contracts to various stakeholders
  • Employee support including investigation of concern and resolution
  • Administration, audit and reconciliation between various internal systems and external provider data
  • Key interface and relationship management with the various health & wellness vendors, consultants and administrators
  • Manage, present and/or coordinate presentations, training sessions and initiatives to various stakeholders

Wellness:

  • Collect, analyze and report on company specific health and wellness trends and data to leadership
  • Work with Fluor’s external benefit consultant and benefits provider to review and implement various key wellness programs that support employee overall well-being
  • Apply for wellness related awards
  • Determine appropriate knowledge building learning sessions, source appropriate vendors and coordinate sessions
  • Provide health & wellness tools and resources to the wellness committee’s mental & physical pillar leads

Disability Management & other leaves:

  • Responsible for management of the program including liaising with group benefits disability case managers, employees and internal management, oversight of internal processes including administration, trend reviews and reporting, and key education of program.
  • Benefit management and oversight of other leaves including maternity/parental and other protected leaves

Group Retirement and Savings Plans:

  • Support in the management of the group retirement and savings plans including administrative actions and audit compliance
  • Possess knowledge of, source information and offer recommendations on various governance related matters of retirement and savings plans to various internal stakeholders as requested
  • Determine appropriate knowledge building learning sessions, source vendors and coordinate education sessions
  • Provide financial tools and resources to the wellness committee’s financial pillar leads related to the group retirement and savings plan

Governance and Compliance:

  • Monitor Canadian legislation and regulations and potential impact on current programs
  • Review and update as appropriate current Human Resources employee policies with benefit related matters
  • Ensure compliance with all applicable policies, plan documents, procedures and global standards
  • Support in the management of governance reviews of benefit and wellness vendors, systems and contracts in collaboration corporate governance teams

Systems:

  • Fundamental understanding of and support systems related initiatives such as new HRIS implementations or modifications
  • Understanding of data file feeds between internal HRIS systems and various benefit provider systems
  • Review and analyze current system processes and benefit related procedures to streamline and create efficiencies
  • Oversight of administration of systems & data management

BASIC JOB REQUIREMENTS

  • Accredited four (4) year degree or global equivalent in applicable field of study and seven (7) years of progressive and broad benefit, group retirement, and systems work-related experience or a combination of education and directly related experience equal to eleven (11) years if non degreed
  • Prior experience leading full-cycle annual Canadian group benefit enrollment for a large organization
  • Prior benefits & wellness program experience in a large or multinational company
  • Demonstrated experience in the execution of key program initiatives including research, cost assessments, presentation to key stakeholders, implementation planning and completion
  • Previous experience leading contract negotiations with the support of key subject matter experts as appropriate
  • Prior experience dealing with retirement and pension planning and governance matters
  • Management of disability management including coordinating gradual return to work programs

  • Excellent planning, prioritization and execution of work based on clearly defined outcomes and expectations

  • Experienced in influencing and gain support from others to achieve goals and objectives
  • Strong collaboration skills and solution-oriented to support where needed
  • Excellent written and oral communication skills
  • Proficient computer and software skills to analyze, problem solve and seek solutions to data with strong abilities in excel including writing formulas and developing complex reporting
  • Attention to detail while working in a time-conscious and time-effective manner.

  • Certified Employee Benefits Specialists (CEBS)
  • SuccessFactors Implementation/Coordination experience
  • Previous experience with SAP and SuccessFactors
