Description:

To deliver a first-class admin and clerical service by ensuring effective and efficient patient focused assistance to the ocular oncology team. To have a complete knowledge of all the admin processes in the ocular oncology team and to create and update SOPs as required.
The post holder will be responsible managing new patient referrals into the service, managing the ocular oncology referral gradings, managing the ocular oncology email in-box and making ocular oncology patient appointment bookings. Liaise with patients, other hospital staff and deal with enquiries from outside the hospital to help ensure the delivery of an efficient service to all users. They will also support the MDT Coordinator with planning of Ocular Oncology theatre lists. The post holder will be responsible for providing cover by attending and minuting the multidisciplinary team meetings in the absence of the MDT Coordinator.
Add new ocular oncology referrals to the Trust’s appointment system, Lorenzo.
Ensure that all referrals are graded by a consultant in a timely manner and managing any referral instructions by updating Lorenzo.
Keep a record of all ocular oncology referrals that are sent for grading, to ensure all are graded and received back into the admin team.
Manage the ocular oncology email in-box, which involves liaising with referring hospitals to collate histology, images, CT/MRI report linking.
Input information onto relevant computer systems to ensure effective communication between all individuals involved in the patient pathway.
Manage incoming telephone calls and signpost to appropriate person or service users.
Deal with telephone enquiries, mail / e-mail promptly and efficiently.
