YOUR EXPERIENCE

  • Bachelor’s degree in Event Management, Communications, Marketing, Business, or a related field.
  • 5+ years of experience in managing a variety of events, including large-scale conferences, preferably in the SaaS or tech industry.
  • Strong track record of developing and executing event communications and promotional plans across digital marketing channels (social media, email, etc.).
  • Proven expertise in project management with the ability to handle multiple events and tight deadlines simultaneously.
  • Strong organizational skills, with a structured, detail-oriented approach to event planning and execution.
  • Excellent stakeholder management and communication skills, with the ability to collaborate and influence across teams and senior leadership.
  • Experience managing vendor relationships, negotiating contracts, and handling budgets.
  • Proficiency in event management software, project management tools (e.g., Asana, Trello), and digital marketing tools (e.g., HubSpot).
  • Experience working in a fast-paced startup environment.
  • Ability to thrive in a fast-paced, high-pressure environment and adapt to changes quickly.

Responsibilities:

  • Event Strategy & Management: Own the strategy, planning, and execution of all company-led events, including our Flagship multi-day large-scale customer event that showcases our products, engages our community, and drives customer success. And smaller events such as networking, educational or experiencal events and customer meetups designed to foster engagement and build relationships with clients and prospects.
  • Communications & Promotion Strategy: Lead the development and execution of a communications and promotion plan for each event in collaboration with the marketing team, ensuring a consistent and impactful message across all touchpoints to drive awareness, attendance and engagement.
  • Project Management: Build and manage comprehensive project timelines, ensuring all tasks and milestones are completed on schedule. Coordinate with internal teams and external vendors to ensure seamless execution.
  • Stakeholder Management: Act as the central point of contact for all stakeholders, including internal teams (marketing, sales, product, and customer success), executive leadership, sponsors, and external speakers. Ensure all parties are aligned with event goals, timelines, and expectations.
  • Vendor & Venue Management: Source, negotiate, and manage relationships with venues, vendors, speakers, and third-party service providers (AV, catering, production). Ensure high-quality delivery of all services and that all contractual obligations are met.
  • Budget Management: Develop and manage event budgets, ensuring cost-effective planning and execution. Provide accurate financial tracking and post-event budget reconciliation.
  • Post-Event Reporting & Analysis: Conduct post-event evaluations to identify successes, areas for improvement, and key learnings for future events. Create detailed reports with metrics on attendance, engagement, ROI, and feedback.
