Position: Senior Executive Assistant for CEO
Location: Remote (working for UK CEO)
Working Hours: Monday to Friday 9am - 5pm UK GMT timezone (with some flexibility)
Job Type: Independent Contractor Position
REQUIREMENTS
- 5+ years of experience as an Executive Assistant at C-Level
- Fluent in English (both written and verbal)
- Exceptional organizational and time management skills
- Strong written and verbal communication abilities
- Proficiency in Microsoft Office, Google Suite, and project management tools (e.g., Clickup)
- Strong communication and presentation skills
- Proactive problem-solving skills and resourcefulness
- Flexibility to adapt to changing priorities in a fast-paced environment
- Ability to handle confidential information with discretion

Responsibilities:
- Administrative Support Provide comprehensive administrative support to the CEO, including managing their calendar, scheduling meetings, and coordinating appointments. Handle expense reports and document management efficiently. Conduct web research and prepare briefings as needed to support the CEO’s decision-making process.
- Communication: Proactively manage the CEO’s inbox and correspondence, ensuring timely and appropriate responses. Act as the primary point of contact, screening and prioritizing communications from internal and external stakeholders. Liaise effectively with internal teams, external partners, and other stakeholders to facilitate smooth communication flows.
- Travel Planning: Take charge of planning and booking all travel arrangements, including transportation, accommodations, and any necessary reservations. Prepare detailed itineraries and manage all travel documentation to ensure seamless journeys. Anticipate potential travel issues and develop contingency plans as needed.
- Project Management: Attend meetings with or on behalf of the CEO, take comprehensive notes, and manage follow-up actions to ensure all commitments are met. Assist in overseeing projects as directed by the CEO, keeping team members accountable and ensuring project deadlines are met. Create and maintain Standard Operating Procedures (SOPs) to optimize efficiency and streamline operational workflows.
- Personal Support: Support the CEO with personal tasks as required, maintaining a strict level of confidentiality and discretion. This may include managing household staff, coordinating personal appointments, and handling vendors for personal matters when necessary.
