JOB DESCRIPTION:

We are seeking a skilled and experienced Senior Executive Assistant (Level 10) to join our team and support a C-level executive and their Leadership Team. The ideal candidate will be adept at managing multiple executives simultaneously. This role requires exceptional organizational skills and proactivity, attention to detail, and the ability to handle sensitive information with utmost confidentiality.

Key Responsibilities within the Function Team:

  • Collaborate closely with C-level Executives, prioritizing, managing, tracking, and providing regular updates on tasks.
  • Efficiently manage calendar(s) with attention to priorities, ensuring strategic optimization of time.
  • Manage domestic and international travel arrangements.
  • Purchase recognition gifts in line with company policy and budget as agreed with the Executive.
  • Create, update, and manage distribution lists for the Function Team.
  • Planning and coordinating logistics for events, functions, lunches, dinners, and conferences and also collaborating with the Event Team as needed.
  • Perform the duties of a Purchasing Specialist (i.e., raise and receipt POs) for the cost centers of the Function Team.
  • Supporting the onboarding of new hires, ensuring they have the required access, and scheduling meet & greets.
  • Manage or actively contribute to projects within the Function Team.
  • Prepare and submit Concur expense reports as requested.
  • Serve as the proxy Executive in approving Concur Expense reports, POs in Oracle, and invoices in MarkView when needed.
  • Prepare agenda, take minutes, and track actions at Leadership Team meetings as needed.
  • Draft and review communications, presentations, and documents.

Key Responsibilities within the EA Team:

  • Contribute to EA recruitment and onboard newly hired EAs.
  • Own and develop key areas for EA team improvement (Operations/Talent/Culture).

o Optimize EA work processes and develop tools for EA work processes.
o Plan and execute skills, career and team development initiatives for the EA team.

o Drive and support EA team engagement.

  • Draft and review communications, presentations, and documents.
  • Coach and mentor other EAs.

Qualifications:

  • Proven experience as an Executive Assistant to a C-level Executive, preferably in a fast-paced, dynamic environment.
  • Exceptional proactivity and organizational skills.
  • Strong attention to detail and problem-solving abilities.
  • Excellent communication and interpersonal skills.
  • Ability to handle sensitive information with discretion and maintain confidentiality.
  • Proficiency in Microsoft Office Suite and other relevant software.
