John Ross & Sons Ltd. is a fourth generation, family-owned, scrap metal recycler. The company is the largest scrap metal recycling facility in Atlantic Canada and has been in operation for over 70 years, primarily in Halifax. John Ross & Sons Ltd. specializes in purchasing and processing all ferrous and non-ferrous scrap metals.
We are currently seeking a dynamic Senior Executive Assistant based at our head office in Halifax.
Supporting 3 members of the executive team, this pivotal role is a new role to support the growth of our organization.

Responsibilities:

  • Provide direct administrative support to all members of the executive team.
  • Maintain work schedules and calendars of executive management.
  • Prepare travel schedules, book travel arrangements, and make reservations
  • Review all documents, reports, and correspondence prepared for executive signature for format, content, grammar, spelling and make edits as necessary.
  • Prepare reports, background documentation, presentations and research as required.
  • Receive and screen all inbound telephone calls, e-mails, and visitors.
  • Review, evaluate, and distribute priority correspondence.
  • Facilitate communication from department managers, business unit leaders, and external consultants/business contacts, when required.
  • Complete expense reports and other related duties.
  • Present a positive and professional image of the Company office to all visitors, suppliers, inquiries, and other persons.Other duties shall be assigned as required.
  • Skills and Qualifications:
  • Post-secondary Diploma in Business Administration, or relevant discipline, required.
  • 5-7 years’ experience in a Senior Administrative/Executive Assistant role preferred.
  • Strong knowledge of office procedures and practices.
  • Keen attention to details.
  • Proficient with Microsoft Office Suite (Outlook, Word, Excel, Power Point).
  • Ability to multi-task and learn quickly, while being adaptable to change
  • Resourceful and flexible.
  • Excellent communication skills.
