Knight Frank is looking to hire a Senior Executive Assistant on a fixed term contract intially, with the potential positibility to go perm. The role will provide 1:1 support to the Head of Commercial.

Responsibilities:

ROLE:

This is a 1:1 role for a highly motivated, results driven Senior EA. Responsible for proactively managing the UK Commercial Head day to day, including providing right hand assistance in a discreet, diplomatic and efficient manner. Offering solutions, ideas and making judgements and decisions on behalf of UK Commercial Head as and when required.

RESPONSIBILITIES:

  • Provide extensive 1:1 EA support to the Leadership Head, including proactive diary management, meeting preparation, and briefing materials.
  • Manage all Board and Strategy monthly meetings, including production of board packs, minute-taking, and distribution of materials.
  • Handle ad-hoc personal administration tasks for the Leadership Head, ensuring timely and efficient management.
  • Coordinate Leadership Head’s participation in GEB meetings, Strategy Days, and organize PP conference packs and presentations.
  • Oversee Commercial Board meetings, including agenda management, stakeholder liaison, and minute-taking, ensuring actions are completed before the next meeting.
  • Manage stakeholder attendance and paperwork for external Board and Committee meetings, ensuring all necessary documents are prepared and distributed.
  • Arrange and manage UK and overseas travel, including preparing detailed itineraries and travel packs, and ensuring seamless travel experiences.
  • Complete expense reports, manage financial documents, process supplier invoices, and sign off monthly travel costs.
  • Screen, prioritize, and respond to mail, email, calls, and voicemails, ensuring effective communication and timely responses.
  • Maintain and update RICS Management and CPD diary for the stakeholder, ensuring all records are accurate and up-to-date.
  • Coordinate business planning with Finance Business Partner, managing the process for Leadership Head and ensuring all meetings occur within required timescales.
  • Support the Leadership Head and Strategy Team in the coordination of the three-year plan, ensuring alignment and progress.
  • Organize and manage business updates, town halls, conferences, and regional office visits, handling all logistics and preparations.
  • Deliver projects with full accountability, implementing effective project management governance, and reporting to Project sponsor.
  • Act as Marketing Communications Coordinator, managing collateral needs, social media, and CRM programmes for the stakeholder, and producing marketing materials.
