Position Overview:
This newly created role in Abiomed will provide diverse administrative and subject matter expert support to the APAC General Manager, Finance & Operations Leader, Commercial Leaders, Field Sales personnel, and home office personnel within a high growth environment. Utilizing Microsoft Office and other programs, the Senior Field Coordinator will maintain information encompassing the highest level of confidentiality, make decisions in support of the field sales organization and interact with all levels of the workforce including business partners, customers, affiliates, and faculty.
The individual will adhere to company retention policies, maintain performance documents, and customer exchange documentation. The Senior Field Coordinator will manage and assist the managers in certain employee-related activities such as onboarding, off-boarding, and transfers of the employees. This individual frequently consults with business partners and field sales on function-specific policies and procedures and prepares communications, presentations, custom reports, and sales analyses.

QUALIFICATIONS

  • Bachelor’s degree in business, marketing or related field required.
  • Minimum of 5 years of administrative experience
  • High proficiency in Microsoft Office including Excel, PowerPoint, Word, SharePoint, and Outlook is required.
  • Experience with Ariba, Concur software preferred.
  • Excellent communication and presentation skills, with fluency in English; proficiency in other languages spoken in Southeast Asia is
  • advantageous.
  • Strong written and verbal communication skills and the ability to work both as a team member and independently are required.
  • The ability to take initiative, be results oriented and manage multiple competing deliverables simultaneously is required. Strong analytical
  • and presentation skills are preferred. Ability to thrive in a fast-paced, dynamic work environment and manage multiple priorities.
  • This position is remote-based and may require up to 20% travel.

Responsibilities:

  • The Senior Field Coordinator will be responsible for, but not limited to, the following:
  • Responsible, providing guidance, support, and direction to ensure alignment with organizational goals and objectives.
  • Project Management – Lead the planning, execution, and completion of projects within specified deadlines.
  • Communication – Facilitate clear and timely communication among team members and relevant partners to ensure alignment.
  • Risk Management – Identify potential risks and develop strategies to address them to ensure project success.
  • Continuous Improvement – Drive continuous improvement initiatives to enhance processes, efficiency, and effectiveness.
  • Engagement – Build and maintain positive relationships to foster collaboration and support for project objectives.
  • Assist in helping the largest integration in MedTech
  • Identifies opportunity to support key accounts and high-value customers to ensure they are knowledgeable about the organization’s products and solutions to successfully utilize them to achieve their business objectives.
  • Improves sales administration and operational processes, optimizes processes, and collaborates with senior management to analyse, evaluate, and implement improvements identified.
  • Ensures accurate data is compiled within performance dashboards to assess sales performance, track sales reports, and monitor critical metrics to remain well-versed on sales team capabilities and hindrances.
  • Collaborate frequently with senior management to solve complex problems regarding project, department, or division-related work.
  • Anticipate business needs and act to fulfil with minimal supervision.
  • Exercise sound judgment and confidentiality to assess and resolve moderate situations/problems and respond to frequently shifting priorities across multiple departments.
  • Schedule meetings though Outlook, secure call-in numbers, prepare meeting agendas and manage attendance registration and logistics.
  • Assemble and manage meeting presentations through ZOOM and/or Microsoft Teams.
  • Draft correspondence, organization charts and presentations.
  • Arrange domestic travel, complete travel expense reports, and manage logistics travel-related activities.
  • Manage agreements and contracts with outside consultants and contracts; establish PO’s and work agreements per J&J company policies.
  • Provide support to Director of Commercial Effectiveness to develop new methods and data/formats for analysis.
  • Generate, maintain, and/or track a variety of reports and projects based on an understanding of the business, including vacancies, rosters, market share, and ad-hoc reports.
  • Provide administrative support for day-to-day operations and individual projects.
  • Utilize business knowledge to develop, improve and support of on-boarding and off-boarding procedures and communication to Field management and new hires/separating employees regarding procedures.
  • Conduct regular new hire orientation meetings and maintain associated presentations.
  • Consult with business partners and field sales on function-specific policies and procedures.
  • Liaison between other JNJ One MD opcos and Abiomed for Field administrative tasks (on-boarding processes, vendor credentialing, motus, concur etc.)
  • Serve as communications liaison and information resource between outside vendors, home office departments to and from field sales personnel.
  • Manage supplier-related programs for field associates (dosimeters, giveaways, PPE, office supplies,ards)
  • Manage employee recognition programs such as Spotlight, Credo, Winning Spirit, and Inspire
  • Collect and validate field trainer compensation requests quarterly.
  • Work in conjunction with Director, Commercial Effectiveness on maintaining and uploading various Field Sales links and documents to Connect Site and maintain content
  • Acts as a role model to educate and share business information to peers.
