Description:

Senior Finance Assistant
Office based
(Salary: £28,000-£30,000 p.a. pro-rata)
25 hours per week – over 4 or 5 days (flexible)
Reporting to Senior Finance Manager
This is temporary role until 31st August with scope to be extended or made permanent.

Responsibilities:

CORE PURPOSE AND RESPONSIBILITIES:

  • To undertake the day-to-day administration of the financial systems and assist in the management of finance and resources within the school.
  • Assist in ensuring that financial and statutory regulations and procedures are adhered to.
  • Maintain the confidentiality of data and information.
  • Complete statutory finance and fraud training and other professional training as required.

KEY RESPONSIBILITIES - MAIN FINANCE DUTIES:

  • Ensure that procedures for ordering and invoice certification are in place and adhered to, and invoices are coded using the appropriate budget codes against the correct department.
  • Match delivery notes with invoices, ensuring goods have been received, prices are correct, and item amounts as ordered.
  • Authorise Purchase Orders and invoices input by the School’s Finance Assistant.
  • Procurement of materials, equipment and services as required, having regard to value for money and ensuring that the most competitive prices are obtained for the school - checking the full and safe receipt of goods and services.
  • Investigate queries relating to invoices/orders and resolve them, to enable timely payment.
  • Enter invoices, credit notes, and income etc. accurately onto PSF.
  • To ensure invoices received are paid within 30 days or as stipulated on the invoice.
  • Seek authorisation for staff expenses, input on PSF and ensure they are paid by BACS within 7 days.
  • Monitor online banking entries regularly and ensure cash flow is in order.
  • Prepare every monthly period end.
  • Carry out monthly bank reconciliation.
  • To be responsible for and assist with the prompt collection of monies due to school, issuing receipts and all banking.
  • Balance and enter credit card expenses monthly, ensuring spend is within credit limit and timely payment made.
  • Update Budget Holders monthly and monitor balance within each budget.
  • Ensure regular budget checking and following of MAT financial procedures.
  • Prepare and carry out all procedures and work for annual Year End including system housekeeping.
  • Prepare and carry out work with the MAT for the Annual Budget.
  • Maintain the management of the data and input new suppliers on the PSF accounting system.
  • To be responsible for filing and security of the financial records.
  • Maintain constant credit control to ensure parents are maintaining trip payment plans, Peri payments etc. with letters and communication to parents when a payment is needed.
