Responsibilities:
POSITION PURPOSE:
Reporting to the Director, International Market Development (IMD), the Senior Information Officer is a communications and office administration specialist, with a keen eye to process optimization. The incumbent supports the sector’s efforts to achieve Strategic Enrolment objectives for the University (undergraduate and graduate levels). Acts as a principle point of contact with potential future students, parents as well as guidance counsellors, trade commissioners, recruitment agencies and in-country representatives, to better represent the University of Ottawa. Directly promotes the University of Ottawa for recruitment purposes through participation in information fairs, group presentations and one-on-one meetings. Manages the database of prospective students and international contacts to support the University of Ottawa’s international recruitment and communication efforts.
IN THIS ROLE, YOUR RESPONSIBILITIES WILL INCLUDE:
- Provide a high level of customer service. Conduct presentations, mostly virtual, during recruitment season to students, parents, and/or other interested parties on admissions processes, program requirements and procedural issues, scholarships, housing, etc., to stimulate their interest in studying at the University of Ottawa.
- Act as a resource person offering training and operational support for services, faculties, student affairs team members, in-country representatives and all recruitment partners (agents) regarding all questions pertaining to the International Market Development team.
- Maintain the complete database of all International contacts via our Client Relationship Management (CRM) system, including ensuring an up-to-date list of educational institutions, embassies, agents and partners, to be used in official email communications campaigns. Import leads (potential candidates and their influencers) from external sources into the CRM.
- Assist and provide logistical support to the IMD team members for all special events and visits including the coordination of travel planning, scheduling, registrations. Assist the Managers and Director in tracking recruitment activities and data related to these activities.
- Recruit, hire, train, and directly supervise students or contract employee to work as an office assistant to help with email inquiries, office organization, office tasks, and event logistics. Ensure tasks are completed according to the standards and directives given.
- Provide logistical support for a variety of requests, coordinating with other Student Affairs teams, the uOInternational Office, the Faculties, the Services, the Office of the President, etc. in preparation for international missions and international visits on campus.
- Support the recruitment activities organized by the IMD team, by participating in on-campus and off-campus events and school visits, as a representative of the University of Ottawa, to counsel students and their parents regarding all aspects of the recruitment process.
- Maintain up -to-date knowledge of new developments at the University of Ottawa, related but not limited to Senate decisions, programs, faculties, scholarships, and financial aid, changes to student community life and services, etc.
- Conduct market research and produce summary reports.
- Initiate, plan and execute projects for the improvement of operations.
