Great Gulf is seeking an experienced Senior Legal Assistant to join our Legal Team in Toronto.
The Senior Legal Assistant is responsible for providing general assistance to the legal team. They will manage their own pipeline of work including: diarizing and managing of critical dates in respect of project agreements; transaction and document management; undertaking special projects; litigation support, tracking and reporting; interacting with outside counsel; facilitating the execution of documents to support legal initiatives and transactions; policy management, creating processes, meeting coordination, preparation of presentation materials; corporate administration; contract management; preparation of contract summaries; document production; and general assistance in the day-to-day operations of the legal department. They will also be responsible for managing the legal department’s invoices which includes obtaining approvals, sending invoices to be processed, tracking spend and facilitating budgeting initiatives.

Key Responsibilities:

  • Provide executive assistance to the legal team including meeting co-ordination; budget management, preparing presentations, assisting with implementation of policy initiatives and overseeing ongoing department projects
  • Assist with maintaining electronic filing system of legal documentation
  • Establish bring forward system to manage key dates
  • Facilitate general document management including saving documents, creating material agreement folders and updating corporate databases
  • Maintain litigation reporting chart and provide general litigation support.
  • Provide legal support for the legal team on various transactions including setting up of data rooms; review of closing documents, compiling schedules, arranging signatories
  • Facilitate the execution of documents, in person and electronically, including the transmission of signed documents to various stakeholders
  • Simple document review
  • Manage department invoicing, tracking, and circulating approved invoices
  • Other administrative tasks and/or special projects, as needed

Qualifications:

  • 5-7 years of experience in an administrative role, legal experience is an asset
  • Post-secondary degree or diploma
  • Exceptional communication skills (written and verbal) and interpersonal skills
  • Strong critical thinking ability and resourcefulness to troubleshoot problems and discover solutions
  • Strong proficiency in MS Office, PowerPoint and Excel; online business and legal research tools
  • Excellent time management, discretion, professionalism organizational skills, and attention to detail
  • Interested in taking initiative
