Description:
The American Diabetes Association (ADA) is seeking a Senior Manager, Research Programs, who will work as a member of the Research Programs’ grant management team supporting post-award operations. We are seeking individuals with comprehensive knowledge of the full grant cycle, strong financial and analytical skills, as well as outstanding customer service abilities to support ADA-funded grantees. This role involves managing the administration and compliance of awarded grants, ensuring that all post-award activities align with organizational goals and funding requirements.
The Senior Manager, Research Programs closely collaborates with the Associate Director, Research Programs, and the Finance Department to ensure accurate and timely execution of grant related requirements. This position reports to the Managing Director, Research Programs.
QUALIFICATIONS
- Bachelor’s degree required
- 4+ years of experience in post-award grant management and operations in a non-profit, government academic, or medical setting
- Prior experience working at a grant funding institution, preferred but not required
- Strong experience and knowledge of grant administration, compliance and reporting requirements
- Proven ability to take initiative, exercise sound judgment, prioritize tasks, manage multiple complex projects and assignments, and set and meet deadlines with a strong focus on achieving results
- Proficiency in the Microsoft Office Suite
Responsibilities:
- The post-award administration of ADA’s research grant portfolio
- The timely, effective, and efficient functioning of post award management processes including but not limited to award activation and renewal, submission and review of annual reporting requirements, grant modification requests (i.e. no cost extensions, institutional transfers, award relinquishments, etc.), financial reconciliations, and facilitating the grant payment process
- Ensure grantee adherence to ADA policies and procedures for financial and scientific compliance
- Serve as a main point of contact for grantees and provide technical assistance for SmartSimple, ADA’s grant management system
- Collaborate with the ADA Legal team and grantee institutions on award agreement and contracting inquiries
- Maintain and develop standard operating procedures, training manuals, and guidelines. Collect feedback, make recommendations, and implement changes as needed to facilitate smooth and accessible grant management processes
- Internal audits of grant processes and financials, as well as routine monitoring of non-compliance and other risks
- Prepare all grant-related correspondences for review, including grant agreements, renewal letters, payment and reporting notifications
- Maintain and update records for active and completed awards within the grant management system to ensure data integrity. Perform data integrity checks, including verifying accuracy of financial entries, cross-referencing grant details with original documents, and conducting regular audits to identify and correct discrepancies
- Assist with in-person meetings with grantees and other research programs events by helping with the production of meeting materials, planning, and other necessary tasks as required
