WHO YOU ARE?

  • We are seeking an individual with minimum 3 years of related experience in office administration, event management, keeping contact with suppliers and high-level stakeholder management
  • Strong communication skills in English (written and spoken) are essential. Additional languages a plus, based on region/customer requirements.

Responsibilities:

  • Main contact for assisting with business travel administration, helping employees of all RSS Operations with the necessary administration steps before and after travel including for higher management and in case of complex arrangements
  • Providing assistance to all RSS Operations employees in the matters of business travels, event organization, office related orders
  • End-to-end organization and management of corporate large and all staff events
  • Car fleet management, operational support
  • Travel related administration eg.: hotel reservations, booking
  • Managing incoming calls and email inquiries in Office Administration related matters
  • Personal assistance for leadership team
  • Deal with telephone inquiries when and where possible and reverts them to the appropriate Directors and/or Managers
  • Supporting purchasing processes, PO creation, vendor registration, contract uploading
  • Car Fleet management, vendor management
  • Keep contact with suppliers who are related to the site’s daily life: cleaning team, security team, catering, car fleet etc.
  • Ensures the smooth operation of daily office activities, including providing office supplies and stationery, ordering snacks and beverages for meetings, arranging lunches, fulfilling errands, handling couriers and mail distribution, managing guest reception and support, and maintaining contact with suppliers related to Roche-Budapest’s daily operations.
  • When the Office Administration Team Lead is not available acts as back-up for the following tasks and activities:
  • GM Support
  • Supervise the tea
