Description:
Responsibilities:
- Supporting the Work Health and Safety Prosecutor and/or the Executive team by effectively and efficiently coordinating appointments and liaison meetings and associated agendas, reports and minutes.- Co-ordinating event facilities; and managing travel and accommodation bookings as required.- Undertaking general administration, including email management (across multiple mailboxes) and records management. - Managing the progression of correspondence, briefing notes and other key documentation through approval processes, and conducting quality and assurance checks of same. - Assisting to maintain the internal database and business registers, undertaking research and assisting in the preparation of correspondence, reports, expenditure forecasts, as well as performance, efficiency and effectiveness data. - Managing and preparing routine correspondence with external stakeholders.- Assisting with the coordination of office-based projects and initiatives. - Developing and maintaining positive relationships with key internal and external stakeholders and dealing professionally with sensitive and confidential information. - Assisting with monitoring existing business processes, identifying issues or risks and making recommendations to ensure procedures support efficient and effective operations.- Providing quality advice and support to management and staff in compliance with OIR, departmental and whole of government policies and procedures relating to a diverse range of business and corporate functions, including but not limited to, finance, HR (establishment management, recruitment, onboarding and exiting staff), ICT and procurement.- Undertaking internal audits to ensure data integrity and accuracy.- Representing the OWHSP at meetings and on working groups.
