Responsibilities:

The core components of the this role are (1) To provide effective, high quality administrative oversight of research projects and to support the team in delivering the project and (2) to provide comprehensive, high level and specialist administration support to the head of Nursing and AHP Research and the Clinical Academic Team. The post-holder will be a key member of the team, providing professional and efficient administrative services. Key areas of accountability will be:

  • Understand the aims and objectives of clinical research in the Trust and the relationship to national drivers, with the responsibility for work activities within own area, the majority of which will be non-routine.
  • Provide day to day general secretarial and administrative support to the Chief Investigators and Programme Manager. This will include minute taking, filing, and use of software to produce word processed documents, PowerPoint slides, spreadsheets, entering electronic diary appointments, room bookings and making transport arrangements.
  • Assist the Programme Manager in documenting and managing study budgets, maintaining documentation of study activities and outputs, and supporting submission of reports to our funder.
  • Undertake mailings to research participants and key stakeholder organisations
  • Be the key contact in the study, communicating with a wide range of stakeholders and investigators
  • Support trial processes and research participant recruitment
  • Manage the study’s social media and website (WordPress) for the research programme
  • Contribute to the preparation of research protocols, research participant facing materials and research NHS governance and ethical approval applications
  • Support the research team in maintaining Endnote libraries
  • To manage the diaries of the allocated individual or team, supporting them to use their time efficiently and effectively. This will include the scheduling of meetings/ clinics and co-ordination of events.
  • To provide high level administrative support to identified meetings, ensuring the timely receipt and circulation of papers, producing minutes of a high standard and managing and co-ordinating the completion of agreed actions and action logs.
  • To manage the email correspondence of the allocated individual or team, reading and responding on their behalf where appropriate and supporting them with the prioritisation of correspondence and responses.
  • To support the allocated individual or team with completion of actions and co-ordination of work, including projects, ensuring that actions of self and others are completed within required deadlines.
  • To work collaboratively and maintain good lines of communication with all stakeholders involved in clinical research; including the Research and Development Team, Principal Investigators, Project Managers, Improvement Partners (members of the public, patients and service users involved in research) and partner organisations (academia, industry, wider health and social care community), and to be the initial point of contact for these.
  • To provide high level administrative support in clinical research communications, including maintenance of Clinical Academic Team webpages, managing social media accounts, distribution of regular research communications and the responsibility for the organisation and co-ordination of dissemination and training events.
  • To understand the aims and objectives of the organisation, working closely with the aligned service or manager to minimise their time undertaking administrative duties.
  • Responsibility for work activities in own aligned area, the majority of which will be non- routine.
  • To ensure high levels of organisation and good attention to detail including high standards of accuracy, ability to forward plan and prioritise tasks to meet deadlines.
