Description:

SUMMARY:

With general direction the Student Administration Systems Operator maintains the school administrative computer network and performs secretarial and clerical duties. She/he works cooperatively with other staff, students, parents and the public.

Responsibilities:

Maintains and updates the Student Information System (MyEdBC).
Analyzes data, designs and produces school administrative reports such as teacher class lists, correspondence, exams, attendance profiles, and demographic information, as required.
Inputs and verifies 1701 data.
Inputs definitions equivalent to Ministry codes for grades, mark symbols, courses and credits in TRAX; assigns a TRAX record to grade 10, 11 and 12 students; and forwards marks from previous years into the record
Inputs and verifies reports of graduation requirements.
Verifies Grade 12 demographics, transcript reports and course codes with Ministry of Education reports including Advanced Placement.
Produces reports for the Ministry of Education regarding graduating students.
Transfers and receives data to/from the Ministry of Education regarding graduating students.
Provides in-service to teaching staff on using specific modules of MyEdBC.
Inputs information from a variety of source documents utilizing various computer programs.
Functions as a school based computer resource person.
Responsible for the preparation and accuracy of student records, lists and reports such as permanent record cards, attendance, report cards, student registration and enrollment reports.
Reports to Ministry regarding TRAX and SADE throughout the school year.
Assists in the development of the master timetable and various timelines.
Trains others in the use of programs.
Duplicates, sorts, collates and staples materials.
Performs other clerical or emergent duties.
REQUIRED KNOWLEDGE, ABILITY, SKILLS (Student Administration Systems Operator SR)
Grade 12 diploma or equivalent.
One year post secondary secretarial school training (30 credits) or equivalent.
Intermediate level of Office Suite (Word, Excel) and Database Management.
Three years of secondary school secretarial experience or five years of secretarial experience with a major component of data entry.
Demonstrated ability to analyze data and provide required statistical information.
Keyboarding skills of 60 words per minute or proof of competency.
Knowledge of Ministry of Graduation requirements.
Knowledge of Ministry guidelines and procedures for the 1701 process, TRAX and transcripts.
Knowledge of Business English, punctuation, spelling and Business Math.
Knowledge of office practices and procedures.
Ability to use courtesy and tact in the explanation of and discussion of information in contacts with public, parents, staff and students.
Willingness and ability to keep up with current technology.
Ability to maintain confidentiality.
Ability to perform individually and as part of a team.
Ability to effectively communicate both verbally and in writing.
Ability to plan and schedule work and organize the workload effectively.
Ability to work with constant interruptions.
Ability to maintain close attention to detail for periods of sustained duration and to meet
deadlines.
