Description:
DESCRIPTION
Reporting to the Senior Associate Dean for Academic Affairs, this position performs a full range of high-level secretarial duties for the Law School Dean’s Office with a focus on law faculty business.
Responsibilities include, but are not limited to:
- Organizes and places all Law School textbook orders to the University Bookstore for each academic term; liaise between law faculty, bookstore and/or publishers.
- Processes course evaluations using Qualitics system, including coordinating with the faculty support staff.
- Assists with processing of all faculty appointments, including drafting posting and hiring forms and memos, facilitating the completion of application and background check forms with the candidates, following up with the Provost Office, and arranging for onboarding of new faculty hires with Human Resources and internal law school departments.
- Assists the Academic Affairs Dean with the administration of multiple faculty committees, including working with faculty chairs to track progress on stated goals, maintaining records, and coordinating meetings and events.
- Maintains and updates faculty personnel files, webpage directories, rosters, and other tracking reports.
- Compiles and distributes materials in advance of meetings.
- Schedules meetings, maintains calendars, screens calls, and assists visitors.
- Prepares and processes administrative forms, general correspondence, check requisitions, travel expense reports and payroll forms.
- Makes travel and conference arrangements.
- Performs other assigned duties not specifically identified above, but which require the same degree of skill, professionalism and attention to detail which are normally included within the above job description.
Hours: Monday through Friday 9am to 5pm.
Subject to bumping.
QUALIFICATIONS
- Professional telephone manner, communication and interpersonal skills required.
- Ability to handle confidential material with discretion.
- Strong writing skills.
- Ability to prioritize, work on own initiative and perform detailed work with high accuracy.
- Excellent typing and computer skills, with strong knowledge of Microsoft Outlook, Word, and Excel.
PREFERRED QUALIFICATIONS
- Knowledge of Qualitics preferred.
