JOB SUMMARY

Reporting to the Central Support Operations Supervisor, the Seniors Central Support Onboarding and Student Placement Lead is responsible for coordinating the Student Placement Program, Agency and Contracted Services Onboarding processes, Ontario Health and Ministry LTC Funding Programs, ensuring compliance with legislative, corporate and departmental requirements.

EDUCATION

  • Post-secondary diploma or degree in Business Administration or equivalent

KNOWLEDGE

  • At least 5 years of current related experience in onboarding and student placement coordination
  • Preferred Human Services/Public Administration environment
  • Demonstrated ability to build relationship with educational institutions, ministry and agencies
  • Demonstrated leadership and communication skills
  • Exceptional Knowledge of computer software applications, including word processing and spreadsheets, and Microsoft Office applications.
  • Knowledge of electronic documentation software (i.e. The Vine, PeopleSoft, HR Reporting).
  • Knowledge of the Ministry of Health and Long Term Care Homes Act and Regulations
  • PeopleSoft HCM and Financial experience

DEVELOPS, COORDINATES AND IMPLEMENTS UNPAID STUDENT PLACEMENT PROCESS STUDENT/PRECEPTOR EDUCATION INITIATIVES AND ONTARIO HEALTH AND MINISTRY LTC FUNDING PROGRAMS (50% OF TIME)

  • Create instructional materials and communication templates for affiliation agreements with academic institutions
  • Act as liaison between academic institutions and legal department to create and establish unpaid student placement affiliation agreements
  • Create and maintain Data Sharing Agreements with academic institutions and liaise with the Legal Division

Coordinate Student Placement Program

  • Oversees student practice education program, maintaining relationships with academic institutions and Departmental Management Team
  • Implement and maintain processes for onboarding of unpaid students and tracking and verifying completion of all ministry and corporate orientation requirements are met
  • Create and implement student placement manuals and other communication materials
  • Ensures appropriate support, supervision and evaluation roles for Senior’s staff and university/college faculty undertaking student placements and/or research/program evaluation projects within the department
  • Reviews student project opportunities, ensuring their dissemination with local and regional educational institutions to recruit interested and skilled undergraduate or post-graduate students
  • Coordinates feedback and communication between student placement experience between learning institution, student and Seniors.
  • Planning, implementing, and reviewing various quality improvement initiatives primarily for student placements

Funding Programs

  • Creation, implementation, maintenance, and review of student data tracking systems used for funding applications
  • Enrolling long-term care homes into funding initiatives
  • Compiling, refining, encoding and submitting data to receive funding on an ongoing basis
  • Represents Niagara Region Senior Services at committee meetings with learning institutions

Coordinate employee, agency and contracted services Onboarding to ensure all LTC homes are in compliance with the legislative requirements and corporate and departmental policies (20% of time)

  • Establishes and maintains processes for onboarding of newly hired staff, agency workers and contracted services to ensure orientation requirements have been completed
  • Creating, implementing, and optimizing new hire materials, templates and preparation processes
  • Collect and verify all required documentation and training is completed to ensure compliance
  • Process all new hire IT Permission Access requests
  • Back-up for new hire cart preparation for orientation training on bi-weekly basis
  • Back-up for new hire IT application set-up during afternoon of orientation day 2
  • Assisting with training departmental interns as needed
  • Creation, implementation, and maintenance of agency data tracking systems to collect pertinent information as per ministry regulations and contractual obligations as required

Builds strategic networks, alliances, and partnerships across internal and external stakeholders to ensure robust education work (10% of time)

  • Works closely with management and staff of Seniors to monitor on an ongoing basis to evaluate needs and requests
  • Liaises regularly with appropriate faculty of local and regional educational institutions (i.e., Brock and Nippissing Universities, Niagara College, local colleges) to promote placement and project opportunities for undergraduate and post-graduate students and to establish and maintain long-term relationships of mutual benefit to Public Health and educational institutions
  • Liaise regularly with legal department regarding contracts/agreements
  • Member of Seniors Quality Steering Committee

Supports Seniors Services Education programs; (10% of time)

  • Learning Management System: Enrolling and tracking completions of required annual professional development education for staff, returning staff, agency and contracted staff
  • Complete other Learning Management System enrollments, attendance lists, and reporting as required
  • PeopleSoft Administrator: Assist with record collection and retention, of staff training ensuring the PeopleSoft database is updated
  • Explores and develops necessary content to be reflected on the intranet site in order to provide important operational information and tools (i.e. education, forms, DLT/functional teams, health and safety, policies, quality improvement, referrals/notifications) to staff of Seniors Services

Administrative and reporting functions (10% of time)

  • Run, edit, and disseminate a multitude of reports at pre-determined intervals and as required
  • Peoplesoft Administrator for LTC
  • Processing of various requests from managers on an ongoing basis
  • LMS Administrator back-up for select functions
  • Trainer and back-up for Mask-fit testing role

SPECIAL REQUIREMENTS

  • In accordance with the Corporate Criminal Record Check Policy, the position requires the incumbent to undergo a Criminal Records Check and submit a Canadian Police Clearance Certificate.
