The Opportunity: We are currently seeking a Service Administrator at our Mudgee branch to provide system, administrative and clerical support to the branch including payroll, HSE and service invoice processing; customer service support and general administrative duties.
Responsibilities:
- Monitor branch KPI’s and recommend improvements as required
- Detailed and high-quality records kept. To collate and enter data onto systems in a timely and accurate manner.
- Answer customer queries and complaints concerning invoicing or account problems.
- System and procedural training as required. Regularly monitor performance gaps and recommend training and cross skilling of staff as required to suit branch needs.
- Be aware of and maintain data within and promote Komatsu HSE portals & Safe Starts along with Workplace Health and Safety policies.
- Processing of sub-contract purchase orders.
- Follow up outstanding purchase orders with customers and suppliers and process as required.
- Processing of sub-contract purchase orders for branch service jobs and parts.
- Coordinate & assist with the submission of successful Warranty and Field Campaign claims to the warranty department.
- Weekly monitoring to maintain outstanding WIP jobs to less 30 Days and meet 5 day invoicing requirement.
- Coordinate and organise employee work rosters and planning/scheduling labour availabilities for jobs to be completed
- Organising and preparing employee inductions/renewals and medicals
- Maintain employee annual leave dates
- Ordering of employee PPE, office supplies, branch maintenance, employee amenities supplies & merchandise as directed by manager and in conjunction with Branch/National processes.
- Assist travel requirements for service department staff in conjunction with Branch/National processes.
- Maintaining and grow relationships with customers both internal and external ensuring a professional manner is maintained at all times providing exceptional customer service
