Description:
SUMMARY
Reporting to the Senior Manager, Fleet Maintenance, the Service Administrator is responsible for receiving and preparing shop invoices for Accounts Payable, billing of shop hours, as well as other administrative duties, This position requires effective time management, high attention to detail, and excellent communication skills.
DESIRED QUALIFICATIONS
- High School Diploma or GED
- Minimum of 2-3 years experience in administration
- Technical ability to understand and use computer programs
- Available to be on-call after hours on a rotation basis
- Ability to create and modify documents using Microsoft programs including Excel as well as data entry skills
- Proven accountability, and integrity
- Ability to manage time effectively and work with minimal supervision
- Ability to use discretion in decision making within predetermined limits and procedures
- Ability to work individually and in a team setting
- Ability to exert force up to 25kg
Responsibilities:
- Enter all shop invoices, billing and paperwork into company computer program
- Investigate and report discrepancies of inventory levels as noted
- Review and finalize works orders after maintenance completion
- Prepare and organize work schedule for multiple shop departments
- Approve and submit timesheets to payroll through computerized time/attendance program
- Investigate and report discrepancies in employee hours
- Record and report workplace injuries to the HR and Safety Department
- After-hours on call
- Other duties may be assigned
