Description:

TE WHIWHINGA MAHI | THE OPPORTUNITY

Downer has entered in a long-term Asset Management & Facilities Management contract with the Ministry of Foreign Affairs & Trade (MFAT). The contract involves the proactive management and delivery of facilities maintenance services, operations services, asset management and minor projects for all their property portfolio in the Pacific across ten jurisdictions.
In this role, you will provide support in delivery and management of facilities maintenance services across the MFAT property portfolio in the Pacific. Based in Auckland, this role will suit a dynamic person who has a real interest in supporting the business and making things happen!

Some of the key duties include but are not limited to:

  • Build strong and trusting relationship with client representatives in the Pacific and the Service Delivery Partners
  • Plan, Co-ordinate and ensure delivery of all Planned Maintenance and Reactive Works in alignment with contractual KPIs for the MFAT portfolio
  • Provide administrative support to the Contract Manager and the Operations delivery team and ensure the day-to-day operations are well supported
  • Liaise with Sub-Contractors to ensure works are undertaken in alignment with KPI’s and at times that work for Downer and the Site
  • Actively seeking improvement opportunities to increase margin, client satisfaction and Downer’s overall company standing

Flexibility is essential for this role as there will be a requirement to work weekends on occasions to fulfil the responsibilities of the role as the contract evolves.

We are looking for candidates with the following skills & experience:

  • Administrative experience in a busy environment is essential (Utilities/Trade Service is desirable)
  • Experience in claims, invoice management and KPI driven environment.
  • A mature approach to work, coupled with an ability to demonstrate initiative.
  • Exceptional organisational and time management skills.
  • An ability to prioritise tasks in line with team output requirements, coupled with the ability to multi-task.
  • Excellent communication and relationship management skills
  • Team player with a dedication to providing quality customer service.
  • Experienced in Microsoft applications in particular Word, Excel and Outlook.

Responsibilities:
