Responsibilities:
WHAT YOU WILL DO
We are seeking an organized and detail-oriented Operations Coordinator to join our team. This role will involve managing various operational tasks, including dispatching, billing, dispute resolution, and technician support. The ideal candidate will be proactive, have excellent communication skills, and be able to manage multiple priorities effectively.
HOW YOU WILL DO IT
- Suppression Dispatching: Coordinate and manage suppression dispatching to ensure timely and efficient service delivery.
- Accounts Payable & Receivable Disputes: Work with AP and AR to help resolve disputes by liaising with relevant departments and customers to achieve resolution.
- On-Hold Management: Track and manage items on hold, ensuring timely follow-up and resolution.
- Time Entry: Accurately enter and manage time records for technicians and other staff.
- Shipping/Receiving: Support the logistics team with service-related shipping and receiving activities, focusing on accuracy and efficiency. This primarily involves staging parts for technicians’ weekly assignments
- Inspection Report Management:
- Track inspection reports and send them to customers.
- Create and maintain inspection reports database.
- Develop and manage inspection calendars.
- Review technician work orders for accuracy and completeness.
- District Billing: Assist with the billing processes for the district, ensuring timely and accurate invoicing.
- Contract Cleanup: Assist in the cleanup and management of contracts to ensure compliance and accuracy.
- IT Support for Technicians: Provide technical support and assistance to technicians as needed.
- Uniform Orders: Manage and coordinate uniform orders for staff, ensuring proper fit and availability.
