POSITION OVERVIEW

Under the supervision of the Director, the CARE Program Assistant serves as the primary first point of contact for all new clients, providing brief needs assessments, frontline crisis intervention, and follow-up coordination with the CARE survivor support team. Provides critical survivor support in facilitating initial client assessments, data entry and reporting, documentation and tracking of services. Responsible for timely and trauma-informed communication to survivors, their support people, and campus partners. Provides confidential assistance to individuals concerning sexual violence, sexual assault, domestic violence, dating violence and stalking. Creates a welcoming and supportive environment as front desk staff to all incoming visitors of the CARE office and manages lobby traffic and visitor experience.
An integral function of this position is the rendering of advice or assistance to victims of sexual assault, dating/domestic violence and stalking and this position serves as a Sexual Assault/Domestic Violence Counselor as defined in California Evidence Code Sections 1035.2 and 1037.1. Advice and Assistance may include: crisis intervention services; intervening with agencies or individuals on behalf of sexual assault/domestic violence clients/survivors; and provision of information and referrals to sexual assault/domestic violence clients/survivors and the public.
Provides administrative and programmatic support and coordination for CARE prevention, outreach, and healing group activities, including but not limited to the CARE intern program, orientation and on-going educational workshops for the UC San Diego student population, staff and faculty departmental trainings, and survivor-centered programming like peer support and healing-focused groups. Works with Prevention Education team, including CARE student interns, to develop student-centered marketing and publicity materials. The IPC supports social media outreach efforts to reach the UC San Diego student population. In conjunction with Training & Education Specialists, supports CARE intern & peer education programs, creating opportunities for student staff professional development. In conjunction with Training & Education Specialists, provides program support for recruitment, training and evaluation of student employees.
Supports departmental efforts in expanding current programs, services, activities, trainings and events to increase campus awareness of services and resources available to students, staff, and faculty at UC San Diego. Coordinates requests and logistics for education programs to individuals, groups and campus units. Provides logistical and programming support to large-scale programs such as Sexual Assault Awareness Month, Welcome Week Events, Domestic Violence Awareness Month, and New Student Orientation.
Participates in the assessment and evaluation of CARE survivor support services, outreach and healing activities, and educational programs. Tracks program data, runs client database reports, and provides regular reports to CARE leadership on service provision, client needs, and programmatic outputs.

Under the direction of the Director, provides administrative coordination, office management, and advising of operations and programs for CARE. Manages central office email accounts and incoming phone calls as the first point of contact for the office. Prepares and maintains budget resources for office programs programs provided by CARE. Provides support of office records management, including file archiving, electronic storage migration, and organizational template design. Provides administrative, purchasing, and office management support for all CARE activities.

  • Occasional evenings and weekends may be required. Overtime may be required.

QUALIFICATIONS

  • Demonstrated experience in intake or programmatic support in a counseling or client-service environment. Working knowledge of advising and counseling techniques.
  • Ability to multi-task, verbal communication, written communication and organization skills. Excellent communication skills, both verbal and writing /editing skills for routine correspondence, letters/memos, and marketing materials. Excellent knowledge of English grammar, spelling, and punctuation.
  • Demonstrated commitment to equity, diversity, and inclusion. General knowledge of diversity, equity, and inclusion, including the complexities of the intersections of identities including, but not limited to, race, ethnicity, gender, religious affiliation, sexual orientation, and class background.
  • Knowledge of common University-specific computer application programs. Proficient in the use of electronic mail systems, Google Docs, the internet, library catalogs, and Microsoft Suite with an emphasis on Word, Excel, PowerPoint, Outlook, Canva, and Adobe Creative and Acrobat Suite.
  • Abilities in problem identification, reasoning. Proven ability to provide critical analysis, using sound judgment with realistic expectations. Strong critical thinking skills to identify problems and use creativity to develop innovative solutions.
  • Interpersonal skills. Proven ability to exercise tact, mature judgment, confidentiality, diplomacy and flexibility in interacting with all levels of faculty, student academics, staff and management, guests, vendors, and the general public using discretion on allinteractions.
  • Ability to work and excel in a team environment in the presence of multiple, frequently shifting priorities across functional areas. Ability to conceptualize, identify and solve problems in a creative and timely manner.
  • Demonstrated organizational and time management skills. Ability to manage multiple projects that require independent planning, organizing and prioritizing daily operations and projects in order to meet deadlines.
  • Skills in service orientation, active listening, critical thinking. Demonstrated ability to recognize issues of sensitive nature and respect confidentiality. Demonstrated integrity,dependability, diplomacy and resourcefulness, with a strong work ethic.
  • Proficient in internet, email and social media marketing including the ability to design, develop and implement ongoing electronic marketing efforts with measurable outcomes.
