GENERAL SUMMARY

Reporting to the Shipping Manager, the Shipping Coordinator will be responsible for ensuring the right products are packed appropriately and delivered to or collected from the correct location in a timely and cost effective manner, rigorously complying with all export legislation at all times. An understanding of packing, freight and procurement is also important to enable effective co-ordination with suppliers of raw materials and manufacturers and to liaise with them appropriately.
Provide support to various shipping activities to deliver products on time and in full to meet with external and internal supplier, customer and legislative requirements. Working with the Operations team and Project Management to continually improve cross departmental communication and effectiveness.
Work closely with other Celeros UK facilities to ensure processes are continually kept up to date and best practices are shared. Role will be required to support local and regional business leadership review processes.

KNOWLEDGE, SKILLS AND ABILITIES

  • Good working knowledge of Microsoft office applications
  • Previous experience with SAP or Oracle
  • Strong administration and organizational skills
  • Good interpersonal and communication skills
  • Excellent accuracy and attention to detail

  • Ability to communicate effectively across all levels, including senior management
  • Excellent customer service manner
  • Working knowledge of Import/ Export compliance matters

EDUCATION AND EXPERIENCE

  • Minimum of five years of experience in a similar role.
  • Similar industry working environment is highly desirable
  • Minimum GCSE in maths and English

Responsibilities:

PRINCIPLE DUTIES AND RESPONSIBILITIES

  • Preparation of commercial invoices and export documentation in line with customers’ orders and customs requirements, including preparation of Chamber of Commerce documents.
  • Arrange booking of consignments by required mode of transport, either directly or through freight forwarders. Keep shipment log up to date.
  • Successfully manage shipping costs for Worksop, taking responsibility for productivity improvements
  • Managing and issuing proforma / milestone invoices, maintain the proforma / milestone log.
  • Knowledge of Letter of Credit and documentary collections for presentation to banks.
  • Bill customer after shipping, making sure invoice goes to correct email / accounts payable and keep record of transaction
  • Provide customers with commercial invoice and all relevant shipping documents as soon as possible after shipment.
  • To work within ISO 9001 Quality System and to observe Health, Safety and Environmental Regulations.
  • Embrace the Celeros Leadership standards, and Operating Initiatives whilst maintaining high standards of discipline and productivity.
  • To perform all duties commensurate with the position as requested by the Shipping Manager in the best interests of the Company.
  • Order all stationary via suppliers web portals and raise any required SAP purchase requisitions pending approval.
  • Participate in and present solutions towards actively managing and reducing the existing documentation retention backlog.
  • Meet annual performance objectives which are linked to the business strategy and priorities.
  • Contribute to building a sustainable performance improvement culture ensuring accountability and execution.
  • Work with other departments and key internal stakeholders to achieve service level agreements and targets
