Description:

Sotheby’s International Realty Canada is looking for someone who is tech-savvy, organized, efficient, and a superb communicator, with a friendly and client-service oriented personality to support agents at our Toronto office. In this role, you will work with our Signage & Listings Department to coordinate all agent and brokerage signage and to ensure properties are beautifully showcased on our websites and MLS. Based out of our Toronto office, the successful candidate will ideally have real estate brokerage experience, with the ability to deliver quality work while juggling many clients, priorities, and deadlines.

REQUIRED SKILLS AND EXPERIENCE

  • Experience broker loading in the residential real estate industry
  • Highly proficient computer and word processing skills, including Microsoft Office and the ability to use G Suite (Google Suite)
  • The ability to proactively anticipate, manage, and prioritize the needs of agents and clients
  • Excellent attention to detail and accuracy
  • A high level of professionalism and discretion; experience in managing confidential/sensitive information
  • A passion for delivering excellent client service, with a desire to exceed the expectations of your clients and team members alike
  • The ability to communicate professionally and diplomatically, even in challenging situations, and to resolve conflict when it arises
  • Strong planning, organizational, and time management skills with the ability to manage multiple projects and competing priorities, and to persist in following up and completing tasks to hit goals and deadlines

Responsibilities:

Signage Production, Coordination and Management

  • Manage and coordinate all agent sign orders on a daily basis
  • Provide sign ordering & sign production information and assistance to newly onboarded agents, as well as continued guidance to current agents
  • Track and monitor brokerage and agent sign inventory, including the delivery, installation, modification, repair, and removal of agent signage throughout the GTA with our 3rd party vendors
  • Collect and organize invoicing documents for signage orders at the end of each month

Property Listings Upload

  • Accurately upload property listings along with copy, photos, video, Matterport 3D videos, 360 property video tours and other multimedia so that they appear according to real estate board and brand standards
  • Process all applicable forms, including any price changes, date changes, sales and/or addendums (ensuring brand standards are met and websites are updated)
  • Enter all broker loading changes onto local board systems
  • Assist in the preparation of Offers/Agreements/Waivers/Amendments and other relevant documents, as required and requested

Quality Assurance

  • Proofread/edit agent’s listings submissions and ensure quality of copy
  • Review agents’ photo submissions and ensure quality of photographs
  • Conduct regular quality assurance spot-checks of new property listings to ensure that they are appearing correctly and syndicating across websites

Listings Standards Expert

  • Act as a local office expert and champion of Sotheby’s International Realty and real estate board standards as they relate to property listings
  • Ensure full knowledge of the Style Guide for property listings and any related provincial advertising regulations

Sales Support

  • Provide professional, friendly, and deadline-conscious support to agents on their listings
  • Provide agents and their clients with timely answers to questions on listings, brand standards, real estate board standards, and property syndication
