Responsibilities:

THE ROLE

Provides managerial and administrative support to the President & CEO. Performs a variety of duties requiring thorough analysis, good business judgment, and insightful knowledge of the organization. Maintains records, processes complex documents, and compiles regular and special reports for the board of directors and other committees. Manages administrative operations by planning, organizing, and coordinating office and reception services. Supports all affiliates of the DRC as required. The employees primary duty is the performance of office work directly related to the management of the DRC and its affiliates. This employee must exercise discretion and independent judgment with respect to matters of significance including (i) interpreting and implementing the DRCs policies and operating procedures, (ii) carrying out major assignments in conducting the operations of the business on behalf of the President & CEO, and (iii) performing work that affects business operations to a substantial degree, such as building strong relationships with DRC Members.

KEY RESPONSIBILITIES

To perform this job successfully, an individual must be able to perform each essential duty and responsibility satisfactorily. The duties and responsibilities include the following, though other duties may be assigned.

  • Manage the President & CEOs schedule by creating goals and background information for all meetings in advance and providing enough time for the President & CEO to strategize and plan in advance.
  • Prioritize the President & CEOs schedule and workload and ensure his time is spent efficiently and on activities related to the DRCs goals.
  • Manage the logistics of meetings involving the President & CEO, including travel arrangements.
  • Communicate with the President & CEO throughout the day and week to assess and re-assess priorities.
  • Create and manage sophisticated database of contacts and determine those individuals with key relationships with the DRC in order to maintain and utilize important information related to their background.
  • Draft and edit letters, emails, and other forms of communication.
  • Prepare the President & CEOs expense reports.
  • Build and maintain strong relationships with members, board members and their assistants, DRC staff and other constituents.
  • Collaborate with the Front Desk Coordinator and ensure appropriate staff coverage for the Front Desk.
  • Utilize discretion for sensitive topics and maintain confidentiality regarding the DRCs non-public matters.
  • Effectively promote the DRCs goals, initiatives and strategic priorities.
  • Assist the DRCs senior team with large mailings and/or emails.
  • Assist in the maintenance of the DRCs membership database in order to provide the organization and its members accurate and up to date information.
  • Above mentioned skills and willingness to work hard and constantly improve.
  • Professional and comprehensive experience in an applicable field and/or with an organization that is similar in mission and activities to the DRC would be helpful.
