ITA is seeking a Special Assistant to the CEO to join the team at ITA headquarters in Newport News, Virginia. This is a temporary position from January 2025-April 2025.
Responsibilities:
As the Special Assistant to the CEO, you will play a pivotal role in ensuring the smooth operation of the CEO’s day-to-day activities. You will be responsible for managing the CEO’s calendar, preparing daily tasks and events, accompanying the CEO on trips, and providing essential support to facilitate efficient decision-making and communication.
- Calendar Management
- Maintain the CEO’s calendar, scheduling appointments, meetings, and events while prioritizing conflicting demands and ensuring optimal use of time.
- Coordinate with internal and external stakeholders to schedule meetings, calls, and travel arrangements.
- Daily Task Preparation
- Prepare materials for the CEO’s meetings, ensuring they are well-informed and adequately prepared.
- Anticipate the CEO’s needs and proactively gather information or resources required for upcoming tasks or engagements.
- Event Coordination
- Organize corporate events, conferences, and other engagements attended or hosted by the CEO, managing logistics, invitations, and follow-up activities.
- Liaise with relevant teams to ensure seamless execution of events and provide on-site support as needed.
- Travel Arrangements
- Arrange domestic and international travel for the CEO, including flights, accommodations, and ground transportation.
- Prepare detailed itineraries and travel packs, incorporating relevant documents, contact information, and other essential resources.
- Communication and Liaison
- Serve as a central point of contact for internal and external stakeholders seeking access to the CEO, managing correspondence, emails, and phone calls efficiently.
- Facilitate effective communication between the CEO and other team members, departments, clients, and partners.
- Confidentiality and Discretion
- Handle sensitive information with the utmost confidentiality and discretion, maintaining trust and confidentiality in all interactions.
- Exercise sound judgment in decision-making and problem-solving, particularly in situations requiring confidentiality or delicate handling.
- Special Projects and Initiatives
- Support the CEO in various special projects, research assignments, and strategic initiatives, providing analytical insights and administrative assistance as required.
- Undertake ad hoc tasks and assignments to support the CEO’s objectives and organizational goals.
Note: This position description outlines the primary responsibilities and qualifications expected of the Special Assistant to the CEO. Additional duties may be assigned based on the evolving needs of the organization and the CEO’s preferences.
Qualifications:
- Bachelor’s degree in Business Administration or related discipline
- Ability to manage complex schedules, prioritize competing demands, and anticipate needs.
- Ability to interact effectively with high-level executives, board members, clients, and partners.
- Highly adaptable and comfortable with ambiguity.
