Description:

Education:

  • Degree or diploma in fundraising, administration or special events is preferred.
  • Member in good standing with the Association of Fundraising Professionals (AFP) or Association of Healthcare Philanthropists (AHP) an asset

Experience:

  • Minimum (2) years’ experience in a fundraising, administration or special events role.
  • Related experience in healthcare or hospital foundation environment preferred.
  • Professional or volunteer experience in event planning/executio

Responsibilities:

Planning (5%):

  • Assist the Annual Giving Coordinator in planning all signature events.
  • Update and monitor budgets in regard to both revenue and expenses in order to maximize revenue goals.

Fundraising (25%):

  • Represent OSMH Foundation for all Signature and Community Giving events that require OSMH staff support.
  • Support Community Giving events by providing OSMH Foundation tool kit as a resource.
  • Collaborate to ensure annual fundraising targets for events are met by maximizing event participation, gift in kind donations and sponsorship opportunities.
  • Assist with each Signature Event “in-kind donations” including plan, asks, tracking and execution.

Raisers Edge Related Duties (10%):

  • Ensure accurate, efficient data entry of donor/participant information, proposals and actions.
  • Ensure the database is well maintained with signature events activity.
  • Maintain accurate tracking, reporting and recognition of gifts-in-kind for assigned events.
  • Create all invoices for Event Sponsors, finalize gift in kind accuracy and communicate to Finance Team to ensure payment is received.

Stewardship & Donor Relations (10%)

  • Execute a Volunteer Engagement strategy for each Signature event including recruitment, engagement and recognition.
  • Manage relationships with a diverse community of donors and event volunteers.
  • Communication to sponsors, donors, participants and volunteers of updates/general event info.

Communications (5%):

  • Provide all communication including attendance tracking, agenda and minutes for each Volunteer committee meeting.
  • Contribute to event communications by preparing Creative Briefs and ensure this is complete in the required timelines.
  • Ensure consistent messaging and quality in day-to-day communications.
  • Ensure participants, donors and sponsors receive invoices/acknowledgements/tax receipts in a timely manner.
  • Undertake post event communication including thank you for participants, in kind donations and volunteers.

Administrative Duties (45%):

  • Digital file management and prepares various correspondence.
  • Design and implement post Event surveys for participants and volunteers.
  • Set Volunteer Committee meetings for all Signature event Committees.
  • Research and provide options to Annual Giving Coordinator hen required for event logistics including permits, entertainment, rental options etc.
  • Support Annual Giving Coordinator with any administrative tasks as required.

Qualifications

Competencies:

  • Demonstrated ability for accuracy and thoroughness with an exceptional attention to detail is an absolute must.
  • Demonstrated ability in planning, organizing and prioritizing multiple tasks and meeting deadlines in a busy environment with poise and patience.
  • Able to think creatively and problem solve while exercising good judgment in a changing environment with numerous deadlines.
  • Excellent written and verbal communication skills, especially around correspondence and report writing.
  • Demonstrated ability to work both collaboratively within a team and independently with minimal supervision.
  • Proficiency using MS Office Suite at an advanced level.
  • Proficiency with peer-to-peer fundraising platforms and/or website building programs.
  • Proficiency using Canva is desirable.
  • Working knowledge of Raiser’s Edge fundraising database is desirable.
  • Ability to work with budgets and expenses following standard procedures.
  • Proactive, able to anticipate, communicate, and resolve issues in a professional and tactful manner.
  • Demonstrated experience in liaising and working with volunteers.
  • Organized and self-motivated with an ability to manage time effectively.
  • Able to maintain and work with confidential information.
  • Prepared to respond to a fast-paced changing environment requiring flexibility and adaptability with respect to working hours such as evening and weekend hours.
  • Must have access to a car and must possess a valid driver’s license.
