JOB SUMMARY

*Location: On-site, National Gallery of Canada, 380, Sussex Drive, Ottawa
*
12 months temporary assignment until September 1st, 2025
As part of the Venues and Event Management (VEM) team, this position contributes to the development and management of special events initiatives and public program activities of the Gallery.
This involves managing events and contributing to the development of proposals, scenarios and strategic initiatives in collaborations with internal departments such as Directorate, Communications, Marketing and Education and external clients and suppliers.
Reporting directly to the Senior Manager of Venues and Event Management, the Special Events Officer works closely with both internal and external stakeholders to ensure that events are coordinated and delivered in a manner that strengthens and supports the strategic vision and culture of the gallery.

REQUIREMENTS

  • University or college degree in, project management, meeting management, festivals and events or the hospitality industry or an equivalent combination of education and experience.
  • At least 3 years of experience in event management and/or project management or a related field;
  • Experience working in a museum or cultural working environment is an asset.
  • Excellent knowledge of protocol guidelines implemented in a museum setting and established by government agencies;
  • Enhanced and current knowledge of the NGC facilities, programs, technical equipment and other services;
  • Enhanced knowledge of event industry best practices;
  • Experience in special event catering and hospitality services to private and public corporations, associations, convention and incentive planners, special interest, niche industry groups, individual client groups with special or religious affiliations etc. Must be familiar with and implement the appropriate protocol for all functions;
  • Experience with supplier and customer negotiations;
  • Experience with the various technical and operational requirements for events and food service operations;
  • Experience in the development and coordination of event logistic scenarios and floorplans.
  • Experience working with a customer relationship management (CRM) software
  • Well-developed working knowledge of event delivery in museum context;
  • Proven organization and leadership skills and the ability to prioritize and complete multiple tasks;
  • Knowledge of project requirements (production, research), evolution of financial needs through the course of project, ability to adjust and re-organize priorities based on a good understanding of project logistics.
  • Knowledge of basic sales and marketing tools/strategies, as it relates to the event industry, including social media platforms.
