Description:
Job Overview
The Special Projects Assistant provides support for special projects across multiple divisions, including Facility Builds, Overhead Power (Infrastructure), Environmental Disposal Systems (EDS), and Electrical Maintenance & Construction (EMC). This role is essential in ensuring smooth operations and communication across teams, handling logistical tasks, and assisting with project updates.
Responsibilities
- Assist in managing the EMC PROJECT MATERIAL email, ensuring messages are reviewed and directed to the appropriate team members.
- Help with data entry tasks, such as entering job materials into customer/work orders, printing pick tickets, and assisting with pulling and staging job orders.
- Provide basic administrative support by helping with updates to project teams, including Superintendents and Purchasing, under the guidance of senior staff.
- Assist in checking and organizing incoming materials for special projects and communicate any discrepancies to the appropriate department.
- Occasionally assist with light inventory tasks, such as counting items and helping prepare inventory reports.
- Help prepare updates for the Project Manager and other team leaders on the status of orders and materials.
- Assist the Asset/Inventory Manager in tracking project progress and learning about project workflows.
- Help with coordinating deliveries and pickups by working with vendors and other team members.
- Attend and observe coordination meetings (Huddles) to gain a better understanding of project processes and assist where needed.
- Support the Shipping Department with tasks like preparing project materials for delivery.
- Perform other basic tasks as requested by supervisors and senior managers.
Qualifications
- High school diploma/GED required.
- Strong communication and interpersonal skills.
- Proven experience in project assistance, logistics, or a similar support role.
- Excellent organizational skills with the ability to prioritize tasks and manage multiple ongoing projects.
- Ability to work independently and as part of a team in a fast-paced environment.
