KEY ACCOUNTABILITIES

  • Managing interview scheduling process, sending interview invitations
  • Creation of offer letters and contract documents in a timely manner
  • Quality maintenance of Employees Personnel Files
  • Cooperation with internal partners, HR BPs, recruiters and works council, obtaining relevant approvals of employee representatives
  • Ownership of the group mailbox and workload distribution, supporting team members with prioritization where required
  • Act as a local point of expertise for complex queries and escalations
  • Coordination of ad hoc projects
  • Full knowledge (SME) of the operational process
  • Conducting Spot Checks each month
  • Acting as the final checking mechanism for the different parts of the process
  • Preparing weekly, monthly, and quarterly reports when required.

SKILLS & EXPERIENCE

  • 2 years of experience in a similar position or other relevant HR administration experience
  • Fluency in German (C1) – both verbal and written
  • Fluency in English (B2/C1) - both verbal and written
  • Strong customer focus, pro-active and positive approach
  • Knowledge of SAP GHP or SAP will be an asset
  • Attention to detail, excellent communication, organisational, problem solving and multitasking skills.
  • Ability to effectively work in a team as well as individually.
  • Ability to manage multiple priorities and experience in managing team workload

Responsibilities:

As a Specialist - Recruitment Administration with German you will join one of AMS Clients from Pharma industry and support them in administrative tasks to help the recruitment process running smoothly.
Your tasks will include scheduling interviews, preparing contracts and offer letters, as well as active participation in process improvement activities, workload distribution, acting as a point of expertise for complex queries and escalations, and completing daily, weekly, monthly and quarterly reports.
