Description:
POSITION SUMMARY
As part of a collaborative and strategic team, the Sponsorship Fulfillment Specialist will report to the Director, US Sponsorship to ensure the success of the overall Sponsorship program and strategy. This candidate will work in partnership the sponsorship sales and events teams and will be responsible for account management of our strategic accounts, market research, data entry, tracking and analytics as well as support with managing retention.
QUALIFICATIONS:
- Bachelor’s degree in Communication, Marketing, or a related field from an accredited 4-year university.
- 3-4 years of relevant experience in sponsorship or account management.
- Proven ability to build and maintain strong relationships with strategic business partners.
- Exceptional organizational and prioritization skills.
- Excellent project management skills.
- Strong verbal and written communication skills.
- Knowledge of marketing fundamentals.
- Advanced proficiency in Microsoft Word, Excel, PowerPoint, Google Suite.
- Highly self-disciplined with a strong sense of urgency.
- Ability to multitask while maintaining attention to detail.
- Familiarity with Salesforce CRM.
- Ability to thrive in a team environment and work effectively under pressure.
- Experience interfacing with C-level executives.
- Eagerness to learn and excel in event sponsorship programs.
- Strong initiative and the ability to work independently.
- Quick thinking, adaptability, and resourcefulness in tackling challenges.

Responsibilities:
- Lead the end-to-end sponsorship fulfillment process for all sellable inventory, including onsite events, digital assets, thought leadership, and more. This includes onboarding, execution, post-event recaps, and recommendation on renewal opportunities.
- Conduct bi-weekly and monthly client calls to manage relationships and ensure the timely delivery of sponsorship commitments.
- Develop and manage annual sponsor deliverable plans to ensure all activities are completed on schedule and achieve ROI.
- Serve as the primary liaison with sponsors, providing event information and coordinating the collection of collateral deliverables.
- Collaborate closely with sales to identify and develop innovative sponsorship programs and exhibit packages for local, regional, national, and international events.
- Coordinate with Accounts Receivable to ensure timely invoicing and collection of sponsorship revenue.
- Manage sponsor and exhibitor relations onsite during events, ensuring a seamless experience.
- Continuously improve sponsor and member feedback mechanisms to identify opportunities for program enhancement.
- Stay informed on emerging trends in sponsorship, including pricing strategies and creative packaging options.
- Create and maintain templates and content for national and premier sponsorship annual recaps, supporting renewal meetings.
- Oversee data collection, entry, analysis, and survey processes for over 200 annual registration responses, 35+ post-event sponsor satisfaction surveys, and 150+ member breakout satisfaction surveys.
- Utilize various software platforms, including Salesforce, Google Docs, Cvent, and Microsoft programs, to support sponsorship operations.
- Act as the Cvent team lead, responsible for the annual platform launch and ongoing maintenance. This includes updating inventory and pricing, confirming registration forms, updating marketing materials, adjusting payment options, and automating payment processes.
- Recommend process and reporting improvements to enhance efficiency and accuracy.
- Deliver first-class customer service to both internal and external stakeholders.
