REQUIRED QUALIFICATIONS:

Education: Bachelor’s Degree

PREFERRED QUALIFICATIONS:

Experience in a non-profit organization and/or higher education fundraising setting
Experience using a fundraising database (e.g. Raiser’s Edge/NXT)

KNOWLEDGE, SKILLS & ABILITIES

Proficiency in Microsoft Office software and ability to learn and use institutional software systems

Responsibilities:

WHAT YOU’LL DO

Reporting to the Associate Director of Gift Processing, you will be responsible for overseeing the daily receipting and deposit process. In coordination with the Associate Director of Gift Processing, you’ll also be responsible for organizing the activities of gift processing personnel involved in performing Gift Processing operations.
In this role, you’ll review checks received daily to ensure that the receipting staff allocates funds appropriately. You’ll ensure that gifts are accurately recorded and that donors are timely and accurately acknowledged and reported. You’ll also prepare audit reports to review data entered and process any necessary corrections.
Using your excellent communication skills, you’ll be maintaining relationships with matching gift companies to ensure matching gift forms are submitted and payments are received. Acting as a liaison, you’ll facilitate interactions between the department and internal or external customers.
You’ll perform daily and monthly reconciliation of department accounts to ensure that gift records balance with the general ledger. With great attention to detail, you’ll review records and acknowledgements to ensure completeness, accuracy, and timeliness. Preparing reports for internal and external constituents, you also compile and submit reports as required by management, state, local, and federal regulatory agencies.
Always striving for improvement, you will assist the Associate Director of Gift Processing with researching, developing and implementing employee training programs to increase efficiency and ensure conformance to standard procedures and practices. You’ll administer records management policies designed to facilitate effective and efficient handling of records; ensure compliance with policies, procedures, and practices for systematic retention, protection, retrieval, transfer, and disposal of records. You’ll also assist with maintaining uniform correspondence procedures and style practices, ensuring procedure manuals are generated and maintained, and implementing measures to improve production methods and to motivate workers.
In addition, you will make suggestions for updates to gift processing standard operating procedures based on current and best practices. You will participate in events, projects, various committees, professional trainings, industry conferences, and conventions. In this context, you’ll maintain up-to-date knowledge of CASE reporting standards and Blackbaud.

ESSENTIAL FUNCTIONS:

Completes standard assignments and responsibilities and makes recommendations for improvement/efficiency, resourcing, etc., as necessary.
Uses existing procedures to solve standard problems and/or correct standard, routine issues.
Assists in the development and implementation of fund-raising plans according to plan and/or with guidance.
Impacts own work team through accuracy and quality of own work.
Works within standardized functional procedures and practices to achieve objectives and meet established deadlines.
Exchanges information in a straightforward manner
Develops working relationships with various teams/parties.
Knowledge of all Microsoft Office software and able to learn and use institutional software systems.
Complies with all State and University policies.
