Description:

Under the supervision of the District Principal of Human Resources the incumbent will ensure accuracy and accessibility of departmental records while maintaining the confidentiality of sensitive information and ensure the efficient operation of the Human Resources Department. The incumbent maintains familiarity with District policies and procedures, Collective Agreement provisions, Teacher Regulation Branch, Employment Insurance benefits, District employee benefits and the Teacher Pension Plan. The incumbent supports teacher staffing and job posting procedures. Work is varied and requires independent judgment and initiative supplemented by a good understanding of the organization and structure of the School District.

ABILITIES, KNOWLEDGE AND SKILLS:

Ability to communicate and maintain effective working relationships with the public, students, teachers, Principals and other employees of the Board, and the Board of School Trustees, in addition to various outside agencies/suppliers.
Ability to establish, organize and maintain record keeping systems.
Knowledge of teacher benefits programs
Ability to independently manage requests and problem solve.
Working knowledge of and/or experience with bookkeeping and record keeping systems commensurate with the school’s or department’s operating procedures.
Considerable knowledge of office procedures and ability to operate and troubleshoot a variety of office machines/equipment.
Advanced knowledge of computer software in a Windows environment, including word processing, spreadsheet, Microsoft Office, Database and web-based applications.
Knowledge of the organization and structure of the School District.

QUALIFICATIONS:

Grade 12 supplemented by a program in office administration including course work in word processing and data processing at the post secondary level.
Keyboarding – 65 w.p.m.
Dictation may be necessary.
Four (4) years proven previous clerical work experience.

Responsibilities:

Interacts on an ongoing basis with both internal and external contacts as a central information source.
Schedules appointments, interviews and arranges meetings.
Performs a variety of clerical duties including sorting and distributing mail, filing, photocopying.
Coordinates accurate processes for large volumes of internal and external applications.
Coordinates, and processes employee leave requests
Processes new employee documentation and provides new employees with information and support regarding applicable district and personnel procedures
Processes employee status changes such as permanent appointments, transfers and leave requests.
Obtains and verifies appropriate forms, documents and approvals and ensures personnel files are complete and accurate.
Performs a variety of clerical duties including typing and composing general and confidential correspondence such as letters, memos, reports, and bulletins.
Operates various types of office machines/equipment.
Takes minutes of meetings.
Other assigned job-related duties.
