QUALIFICATIONS

  • Proven experience in a strategic support role, Chief of Staff, executive assistant, or similar role supporting senior leadership.
  • Strong business acumen and strategic thinking skills
  • Excellent communication and interpersonal abilities, with the ability to influence and build relationships at all levels of the organization
  • Exceptional organizational and project management skills with the ability to prioritize tasks and meet deadlines
  • Analytical mindset with the ability to interpret data and make informed recommendations
  • Ability to thrive in a fast-paced and dynamic environment, managing multiple priorities with grace and composure
  • Bachelor’s degree in business administration, management, or a related field; MBA or other advanced degree is a plus
  • Proactive and resourceful, with the ability to anticipate needs and take initiative.

Responsibilities:

STRATEGIC ASSISTANT TASKS (EXPECTED 75% CAPACITY):

  • Serve as a strategic advisor to the department head, providing insights and recommendations to drive business objectives
  • Lead and manage special projects and initiatives, ensuring timely and successful execution
  • Act as a liaison between the department head and other teams, facilitating communication and collaboration
  • Analyze and report on key performance metrics, identifying areas for improvement and implementing solutions
  • Coordinate and prepare materials for executive meetings, including agendas, presentations, and follow-up actions
  • Drive organizational and operational efficiency, implementing best practices and process improvements
  • Handle sensitive and confidential information with discretion and professionalism

ADMINISTRATIVE ASSISTANT TASKS (EXPECTED 25% CAPACITY):

  • Act as the primary point of contact for the department head, managing their calendar, scheduling appointments, and coordinating meetings.
  • Manage and coordinate office activities and operations to ensure efficiency and compliance with company policies.
  • Coordinate travel arrangements, including flights, accommodations, and itineraries (incl. T&E reimbursement process)
  • Assist with the onboarding process for new employees
  • Anticipate the needs of the department head and proactively provide support to ensure their efficiency and effectiveness.
