QUALIFICATIONS:

  • Bachelor’s degree preferred in Communications, Business, or a related field.
  • 2+ years of administrative experience preferred.
  • Microsoft Office: high level of proficiency.
  • Excellent communication skills, both written and verbal.
  • Must be able to travel to pick up lunches, attend off-site meetings, etc.
  • Ability to manage many tasks at any given time.
  • Knowledge of general office practices, procedures, software, and equipment; ability to learn several new computer programs quickly.
  • A service-oriented mindset and willingness to go above and beyond to take care of the firm.
  • Equivalent experience in a similar role will also be considered, particularly if combined with relevant certifications or demonstrable success in similar positions.
  • Must be authorized to work in the US.

Responsibilities:

The Communications and Project Coordinator in our Operations area provides essential support to the Strategic Operations and Communications Manager in the planning, execution, and monitoring of communication and projects within the organization. We are looking for someone who is adaptable, can anticipate roadblocks, is reliable, will take initiative, and will execute tasks with a high level of efficiency, in high pressure situations. The Communications and Project Coordinator will need to be someone with very strong written communication and the ability to concisely create reports and communications with key firm stakeholders. The exercise of discretion and independent judgment with respect to job functions is necessary. Work hours will need to be adapted and/or extended, including occasional evenings or weekends, to meet project deadlines.
Responsibilities:

Communications:

  • Manage the monthly Firm Newsletter including creating content and coordinating with other newsletter contributors.
  • Refine meeting minutes for Board of Directors and Management Committee meetings.
  • Assist with writing, drafting, and editing other firm communications as assigned.
  • Maintain a consistent tone within firm communications.
  • Help the Strategic Operations and Communications Manager develop a communication strategy and develop processes based on the strategy.

Administrative Responsibilities:

  • Complete tasks and projects as determined by the CEO and Manager of Strategic Operations and Communications.
  • Support various firm committees as assigned.
  • Coordinate client holiday gifts, firm holiday cards, and other firm-facing projects, as assigned.
  • Assist with the planning and execution of firm events and functions.
  • Perform basic administrative tasks such as running errands, calendaring, answering phone calls, ordering and picking up lunches, and others.
  • Work with MS Word, Excel, PowerPoint, and other relevant software, effectively navigate and research on the internet, and use technical equipment appropriately.
  • Maintain confidence and protect operations by keeping information confidential.
